The Gathering Place is a collaborative project between Alternative Family Services (AFS), Alameda County Social Services Agency, and Alameda County Behavioral Health Care Services. The Administrative Assistant is responsible for performing administrative and clerical duties for The Gathering Place and agency management. This is a full-time position working Tuesday - Saturday 8:30am - 4:30pm. Position is based in Oakland but travel to Pleasanton is also required. About Alternative Family Services and The Gathering Place
Alternative Family Services is a Foster Family, Adoption and Mental Health Agency that has been serving abused and neglected children in our community since 1973. Our mission is to support vulnerable children and families in need of stability, safety, and well-being in communities. We provide a wide range of foster, adoption, mental health and transition-aged youth services in English and Spanish. We have eight locations throughout the Bay Area and over 200 employees. The Gathering Place staff provides a safe, comfortable, and family-friendly environment where referred parents and children who have been separated can complete their visits and receive a range of services including therapeutic, supervised, and observed visitation. Alameda County Department of Child and Family Services’ goals for families are to increase timely reunification and reduce re-entry rates into the child welfare system. The Gathering Place is committed to maintaining family attachments during the difficult period of separation. It offers a continuum of services that eliminates obstacles to visitation while promoting positive family interactions.
Responsibilities
- Answer and direct incoming phone calls
- Provide reception for customer services for families and community partners
- Responsible for family room assignments
- Maintain a professional and friendly demeanor while ensuring program protocols are followed
- Track, order and dispense supplies and resources
- Perform varying clerical tasks to support the program and agency management
- Serve as Safety Officer for TGP Oakland Office
- Coordinate holiday donations including distribution to clients
- Organize trainings and events as needed
- Database compliance and training maintenance
- Maintain a safe and organized office environment, filing and storage system
- Adhere to our attendance and punctuality policy
- Ensure compliance with HIPAA privacy practices
Needed Upon Hire
- High School Diploma or GED
- Skilled in Microsoft Office products, especially Word, Excel, Outlook and Publisher
- One year experience in customer service and work with the public preferred
- Obtain and maintain fingerprints and government and Agency required background clearances
- Able to read and write fluently in English
- Able to meet the specific linguistic needs to the target population
- Able to clearly communicate verbally and in writing
- California driver’s license and auto insurance showing as an insured driver on the policy
- Valid CPR/First Aid certification
- Able to maintain a professional demeanor
- Able to interact with and communicate pertinent information, verbally and in writing, to co-workers, foster parents, biological parents, clients, and vendors as part of a cooperative team
- Possess a high level of integrity, honesty and strong work ethic
- Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form
- Possess and agree to continue to work on cultural competency as it relates to the diverse client population served
- Able to work with minimal direct supervision and manage time and prioritize workload
- Excellent organizational and attention to detail
Driving Requirements
This position requires employee to possess a valid CA driver’s license and valid automobile insurance with his/her name on the verification card as an insured driver on the policy at all times. Position requires regular access to a vehicle in safe working order.
