POSITION FUNCTION / OVERVIEW :
This position is responsible for helping admit clients to the appropriate mental health program and facility by maintaining admitting guidelines; obtaining applicant information; screening applicants; completing admissions process; resolving patient dissatisfactions. The Admission Coordinator is also responsible for helping the client transition to the appropriate program while ensuring compliance with applicable standards.
PRIMARY DUTIES / RESPONSIBILITIES :
Promote the mission, values and vision of the organization.
Provide excellent customer service for clients; practices confidentiality and privacy protocols in accordance with HIPAA requirements.
Pre-screen prospective clients to obtain pertinent information and complete an assessment of clinical appropriateness.
Screen insurance information to identify patients requiring pre-admission approval from third-party payors and verity that approval has been obtained.
Communicate any and all pertinent information for incoming patients to all departments, prior to patients arrival. Providing updates on ETA’s.
Educate prospective clients regarding admitting procedures, facility regulations, rules and services provided.
Log all new calls and client information into the CRM system.
Follow up daily with potential leads, scheduling pre-admission assessment.
Ensure any client being referred from an outside agency (Hospital, Another Facility, etc) has up to date, current, medical documentation (if applicable).
After approval of admission, the coordinator is responsible to build a client file within EMR. Inputting all necessary information.
Arrange transportation to the facility.
Rotating on-call support for client assessments / admissions into the program after hours.
Performs other duties as required.
QUALIFICATIONS REQUIRED :
High School Diploma or GED equivalent, required; Associate’s Degree or Bachelor’s Degree in related field, preferred.
Experience in mental health, psychology, or a related field, preferred.
General knowledge of recovery (substance abuse and / or mental health).
Relevant computer software and hardware applications proficiency – Word, Excel, PowerPoint, Outlook, Electronic Medical Records, Billing Systems and / or other scheduling applications; KIPU preferred.
SKILLS :
Strong communication skills, both written and verbal.
Ability to work independently, as well as part of a team.
Manage multiple tasks; ability to work accurately, with attention to detail.
