Import/Export Logistics Coordinator

Role Overview
The Import/Export Logistics Coordinator will be responsible for managing and coordinating domestic and international shipments using various modes of transportation. This role will ensure the smooth execution of shipments from start to finish, while providing excellent customer service and maintaining consistent communication with all parties involved. The successful candidate will ensure accurate documentation, timely billing, and efficient management of logistics operations.
Core Responsibilities
- Plan and coordinate the import/export of shipments using different modes of transportation, ensuring all logistics processes are executed efficiently.
- Create shipment files, arrange for pickup, and ensure all required documentation for domestic and international transportation is in place. Serve as a liaison between all involved parties to provide regular status updates.
- Utilize approved external providers as necessary to arrange transportation of goods, ensuring cost-effectiveness and efficiency.
- Maintain clear communication with all parties involved, including tracking updates, scope changes, and any additional relevant information for each shipment.
- Oversee billing for shipments covered, ensuring accuracy and timely invoicing to clients.
- Conduct site visits for inspections and to supervise cargo load outs and deliveries, ensuring proper handling and compliance.
- Manage each shipment and project from start to finish, ensuring all aspects are carefully coordinated and completed on time.
- Follow established work instructions and checklists to maintain consistency and minimize errors in shipment coordination.
- Enter shipment and booking details accurately into CargoWise, submitting all required documentation in a timely manner.
- Respond to client complaints and inquiries promptly, seeking assistance from upper management when necessary, and ensuring all communication is clear and accurate.
- Resolve any miscommunications or disputes that arise to ensure the safe and timely delivery of shipments.
What We’re Looking For
- 1-2 years of experience in project logistics processes, systems, and solutions, with a focus on over-dimensional and heavy lift logistics preferred.
- Familiarity with ocean import/export procedures and domestic transportation practices.
- Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Access.
- Strong verbal and written communication skills, with the ability to manage time effectively and stay organized.
- Ability to listen actively, respond to questions with complete and accurate information, and maintain clear communication with stakeholders.
- Effective negotiation skills and a clear communicator of ideas and solutions.
