Job Description
I. Job Title: Accounts Payable Clerk
II. Department: Administrative
III. Reports to: AP Manager
IV. Summary
Maintain records of accounts payable under the directions of AP Manager. Record and issue weekly payments on operating accounts. This position will follow the guidelines as set by the policies and procedures of the club.
V. Job Tasks
- Collects and files invoices.
- Audits vendor invoices and assures that all invoices have been approved for payment by the appropriate manager.
- Posts invoices to proper accounts.
- Compiles and maintains credit applications for vendors. Completes vendor applications and process NTTCs.
- Maintains Spreadsheet on Compensation Tax
- Processes all bills for final payment; provides checks with supporting documentation for signing by General Manager and/or board member.
- Assists with clerical work in the accounting department.
- Maintains vendor contact records and W-9’s.
- Reconciles vendor statements to assure that all invoices are accounted for.
- Interacts with department heads regarding invoice issues.
- Attends departmental and club training meetings.
- Will assist AP Manager with annual 1099 distributing to vendors and 1098 filing with IRS.
- Create and maintain accounting spreadsheets in Excel.
- Maintains Spreadsheet on all monthly bills and ensures all monthly bills are accrued/paid monthly.
- Maintains Spreadsheet on all service contracts.
- Performs other duties as assigned by the AP Manager.
- Post Office mail pickup
VI. Qualifications Required
- HS diploma and some practical experience in an office setting with general accounting knowledge.
- English required with knowledge of Spanish desired, must be able to effectively communicate in public speaking.
- Strong math skills with Excel Spreadsheet knowledge a must.
- Fluent with a fast-paced work environment and multiple priorities/tasks. Must be able to multi-task and stay on multiple tasks. Make judgment decisions and adapt to changing work situations, grasp and apply new ideas, communicate with various personalities at all levels and can apply common sense understanding to changing needs. Maintain calm and controlled demeanor when addressing vendors and coworkers under any circumstances.
- Must have valid drivers license and reliable transportation.
- MS Word, Excel, Outlook a must!
