Key Responsibilities:
Phones & Communication
- Answer incoming calls promptly and professionally
- Transfer calls or assist with questions and issues as needed
- Organize and save important documents, such as:
- Training records
- Medical cards
- CDLs
- New-hire paperwork
- Track 120-day truck inspections
- Verify forms are accurate and complete
- Update expiration dates in the system (TM) for trucks and drivers
- Save documents to the appropriate files
- Manage I-PASS and Pre-pass accounts:
- Track vehicle and driver details
- Order, replace, or update passes as needed
- Inform payroll of any changes
- Maintain Carriers Edge accounts:
- Add or remove employees
- Assign training and track completions
- Send weekly updates to managers and payroll for training payouts
- Respond to DOT employment verification requests
- Request employment history for all new hires
- Complete reports for incidents, accidents, or injuries
- Monitor CDL, medical card, Hazmat, and training expirations
- Send reminders and assign upcoming training monthly
- Help coordinate random drug tests and physicals for drivers
- Maintain a master ledger of driver and equipment information
- Assist coordinators with updating annual MVRs and Clearinghouse records
- Help file and distribute plate registrations
- Support renewals for IRP and 2290
