DESCRIPTION
We are currently seeking a reliable and organized Clerical Aide III for a client in need of administrative support. The ideal candidate will perform a variety of clerical, secretarial, and office duties, ensuring smooth office functioning and supporting various teams. KEY RESPONSIBILITIES
- Manage conference room and assembly room reservations
- Scan and file time-off requests, and update employee shift schedules / time-off calendars
- Validate, submit, and file timesheets
- Stamp, process, and mail out items such as compliance reports, customer letters, and other correspondence
- Set up UPS or FedEx shipments as needed
- Sort and distribute incoming mail
- Oversee office supplies inventory, place orders, and distribute supplies
- Coordinate meeting scheduling and manage meeting logistics
- Handle registration for training, seminars, and other professional development events
- Verify and consolidate packing slips with invoices for materials
- Track reimbursements for certifications, training, and other related expenses
- Initiate MUNIS requisitions for purchasing
- Prepare, file, and organize documents and reports
- Scan records and link to appropriate tracking files
- Communicate and collaborate with various individuals and organizations
- Assist in developing and implementing administrative procedures and systems
