Job Overview
We are seeking a dedicated and detail-oriented Staffing Assistant to join our team. The Staffing Coordinator Assistant is responsible for assisting our Lead Scheduler, Recruiting Coordinator and Director of Operations with client staffing and care staff recruiting. Primary responsibilities are assisting the scheduler with client / caregiver scheduling and new client intake set-up and client / caregiver activity reporting. This position will also assist our recruiter with caregiver recruiting, screening and hiring, and the administration of all employee files and documentation. They also participate in the after-hours on-call phone rotation.
Responsibilities
- Assists in coordinating new client starts of care with marketer, client care coordinator and nurse, and ensures all assigned caregivers are properly oriented as to the clients’ needs.
- Assists to effectively staff and schedule all new home care clients making sure all schedule information is accurate.
- Schedules new and existing home care clients on an ongoing basis and as daily situations arise.
- Monitor clients / caregiver schedules to insure they are accurate and complete.
- Ensures all Caregiver shift tasks are updated daily.
- Communicate shift schedules to caregivers and clients as needed.
- Verifies critical client schedules with caregivers 1-2 days out
- Completes client staffing schedules a minimum of four weeks out.
- Effectively manages caregiver call-outs and client schedule change requests.
- Promptly re-staffs caregiver call-outs.
- Minimizes open shifts and unfunded overtime when staffing and re-staffing clients.
- Promptly notifies caregivers of changes to client work schedules.
- Documents all caregiver, client and other pertinent daily business activity in our business system.
- Advises other staff of any client issues and possible level of care changes that need to be addressed.
- All Client and Caregiver files & information, and other company confidential information is properly handled and secured per HIPPA and company privacy policy guidelines.
- Effectively & professionally handles all incoming calls from prospective clients and referral sources, and routes to appropriate marketing / nursing staff for follow-up.
- Provide rotating after hours and weekend on-call phone coverage to insure client care overage.
- Performs other business and office administrative assignments as directed.
- Consistently meets established goals and performance metrics for the position.
- Assists with caregiver screening and interviewing as needed.
- Assists with the administrative onboarding of new employees as needed.
- Assists with new Caregiver onboarding, orientation and training as needed
Experience
- Previous experience in human resources, scheduling or a related field is preferred but not required.
- Strong organizational skills with attention to detail.
- Excellent interpersonal skills to effectively communicate with employees and clients at all levels.
- Ability to handle sensitive information with confidentiality and professionalism.
- A proactive approach to problem-solving and the ability to negotiate effectively when necessary.
