Overview
AM Realty is seeking a detail-oriented and analytical Utility Coordinator to manage and oversee all aspects of utility accounts across our property portfolio. This role requires a proactive, go-getter attitude and strong organizational skills to ensure accurate billing, timely payments, and efficient utility usage reporting. The Utility Coordinator will work closely with property managers, vendors, and accounting teams to streamline utility operations and enhance overall efficiency.
Responsibilities
- Set up, monitor, and maintain utility accounts for all properties.
- Ensure accounts are active and accurate during property transitions (acquisitions, dispositions, and turnovers).
- Review and process utility invoices for accuracy and timeliness.
- Investigate and resolve discrepancies with vendors or internal teams.
- Ensure payment deadlines are met to avoid late fees or service interruptions.
- Analyze utility usage data to identify trends, inefficiencies, and opportunities for cost savings.
- Prepare monthly reports for senior management with insights and recommendations.
- Serve as the primary point of contact for utility vendors and service providers.
- Negotiate contracts and rates to ensure favorable terms for the company.
Qualifications
- Proven experience in office management or a similar role, preferably in a utilities or facilities environment.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent organizational skills, with attention to detail in managing files and records.
- Proficient in using computer systems for data entry, reporting, and communication.
- Familiarity with calendar management tools and scheduling software.
- Strong interpersonal skills with the ability to communicate effectively across various levels of the organization.
- Experience with phone systems and maintaining professional phone etiquette is essential.
