The Event Sales Manager's primary function is to sell the event venues at Amaterra. Events will include privately contracted events (i.e. weddings, reunions, corporate events, etc), as well as a variety of member-focused culinary and wine events throughout the year. The Event Sales Manager will work with the General Manager, Executive Chef, Winery and Wine Club Manager to plan private and Wine Club events and support various wine releases and other special wine club member events throughout the year. In the Event Sales Manager role, you are expected to work collaboratively with our other managers and be a brand ambassador to our customers. This role requires leadership among the staff, and accountability to our business metrics.
ESSENTIAL FUNCTIONS :
- Sell, plan, and support Amaterra full suite of private events and large party dining to achieve and exceed budget and revenue targets as defined.
- Work in partnership with and support other events team members to cultivate relationships to sell event space on property and meet with potential clients / guests to present all benefits the winery offers for weddings, social events and corporate meetings, etc.
- Develop and nurture relationships with external partners like event planning companies, hotel General Managers and concierges, corporate event planners (i.e., Intel, Nike, Columbia Sportswear, Washington County tourism, etc.), and wedding planners / coordinators.
- Develop, manage, and execute a Top Customer (prospective and current) account list to support business growth. Spend time each week off-site managing, developing, building, and fostering new relationships with potential event clients. This can include individualized or small group client meetings, networking events, conferences, trade shows, etc.
- Meet with, communicate, and respond to clients as needed throughout the planning and deposit stages to ensure smooth event operation and ensure Amaterra team is 100% prepared to deliver on all items identified in the contract and Beverage Event Orders.
- Manage assigned leads through the sales process to event contract execution. Manage all coordination details and introduce Banquet Manager to the client before the event to ensure a smooth transition for the client.
- Coordinate guest facing menus, buffet labels and any other event specific collateral.
- Communicate with Banquet Manager on weekly rental orders (linens, additional tables / chairs, other).
- Conduct property tours with prospective clients as appropriate.
- Act as liaison between Wine club, Event Dept, Food and beverage, and the controller to ensure event financials align with margin goals.
- Partner with the General Manager and Controller to produce quotes that meet the business's financial goals. Utilize appropriate processes for event sign-off and approval to ensure events meet expected financial goals and / or targets for the event.
- Assist in the development of, and manage to, key KPI's for events, and manage business accordingly. These can include capacity targets for bookings, revenue per guest, events per month, etc.
- Use event planning / CRM software to manage leads, client activity and set up follow-up tasks.
- Attend BEO meetings with the Banquet Manager and culinary team to smooth event execution. Work with the Food and Beverage team to communicate expected event needs appropriately and accurately.
- Participate in weekly event sales meetings, BEO meetings, and daily stand-up meetings.
- Acquire and maintain knowledge of the company's wines, story, and the winemaking process to effectively advise guests in person, via email, and by phone.
- Provide direction to the Event Coordinator with regard to reporting and / or special project needs for events team.
- Any other assigned tasks as needed or requested.
