Ambient Air Systems LLC is looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Responsibilities
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information on computer
- Maintains a thorough knowledge of the office, including the location of various files, documents, and reports.
- Responsible for keeping the office clean and organized
- Maintain files, update, edit and organize documents, both physical and electronic
- Accept and screen calls, take messages, and assist callers when possible
- Respond to requests or issues
- Distributes memos and manager notification
- Handles all matters with confidentiality
- Assist with customer service inquiries and provide excellent service to customers, vendors and our technicians
- Greet office visitors in a courteous, professional manner and determine whether they should be given access to specific individuals
- Keeping inventory of office supplies and maintaining stock
- Ordering materials as needed for office and field Techs
- Perform basic essential bookkeeping work
- Receiving shipments
- Assist with moving boxes and light inter-office moves
- Schedule meetings
- Coordinate and assist with event planning tasks
- Utilize QuickBooks to assist with tracking expenses and inputting receipts
- Other administrative responsibilities as requested
Skills
- Working knowledge of office equipment such as computers, printers, scanners and phone systems.
- Excellent organizational and time management skills; multitask
- Excellent written and verbal communication skills
- Proficiency in QuickBooks, MS Office
Qualifications and requirements
- High school diploma
