Who We Are Looking For:
We are looking for a Program Coordinator who will work closely with the NYC Program Director to manage student programming (primarily in the summer TECH360 program), and lead student recruitment and enrollment during the academic year. The ideal Program Coordinator is excited about sharing AOT’s opportunities with the NYC community and is able to ensure a seamless student experience from application to graduation.

The Program Coordinator will report to the NYC Program Director.
Key Responsibilities:
Digital Recruitment and Enrollment:

Implement digital recruitment strategies to attract a diverse pool of high school students for AOT programs in NYC.

Manage the entire enrollment process, including application review, communication with applicants, and ensuring all necessary documentation is collected.

Act as the primary point of contact for prospective students and families, addressing inquiries and providing guidance throughout the enrollment process.

Develop and maintain an engaging online presence through social media, email campaigns, and other digital platforms to promote AOT programs.

Analyze enrollment data to identify trends and make recommendations for improving recruitment efforts.

Maintain and update Salesforce to track recruitment and enrollment metrics, ensuring accurate and timely reporting.
Event Coordination and In-Person Recruitment:

Plan and coordinate recruitment events, including information sessions, school visits, community events, and fairs, to increase awareness of AOT programs in NYC.

Build relationships with school counselors, teachers, and administrators to establish strong recruitment pipelines.

Represent AOT at local events and community engagements to promote programs and build connections with prospective students and their families.
Recruitment Strategy and Evaluation:

Develop and execute an annual recruitment and enrollment plan, aligned with organizational goals and regional program needs.

Monitor and evaluate the effectiveness of recruitment strategies, making data-driven adjustments as needed.

Prepare regular reports on recruitment and enrollment progress for leadership, highlighting successes and areas for improvement.

Stay informed on trends in student recruitment and enrollment to bring innovative approaches to AOT’s processes.
Program Management, Operations, and Logistics:

Setup/maintain all virtual and in-person classroom learning environments - including Zoom, Google Classroom, Google Calendar, and all technology platforms.

Act as point of contact for assigned TECH360 program cohorts to coordinate with instructors, peer mentors, students, and volunteers.

Manage communication/reminders for all students, volunteers, and peer mentors regarding class sessions/announcements.

Manage the peer mentors in respective TECH360 cohorts to ensure their understanding of their responsibilities.

Help the Program Director evaluate/report on program outcomes by administering surveys to students, instructors, and families.

Track and collect student information, including program attendance and engagement.

Track and retain collection of each student project and artifacts from programs.

Support the evaluation of policies and practices to ensure program goals are achieved.

Cover program sessions for other Program Managers on as needed basis during academic year programs.

Perform related duties as assigned, within your scope of practice and to support the growth of AOT.
Qualifications:
-
Bachelor’s degree in education, marketing, communications, nonprofit management, or a related field. Equivalent experience may also be considered.

At least 2 years of experience in student recruitment, enrollment management, admissions, community outreach, or a similar role.

Experience working with high school students and/or in an educational or nonprofit environment is strongly preferred.

Knowledge of the tech education landscape in NYC.

Proficiency in using data systems or CRMs (e.g., Salesforce) to track and analyze recruitment and enrollment data.

Exceptional verbal and written communication skills, with the ability to engage and inspire students, families, and community partners.

Skilled in public speaking and presenting to diverse audiences.

Experience with social media marketing and/or management a plus!

Strong relationship-building skills with an ability to collaborate effectively with stakeholders at all levels, including students, families, schools, and community organizations.

Excellent organizational and project management skills with the ability to manage multiple tasks and meet deadlines.

Attention to detail and ability to operationalize tasks.

Ability to develop and implement creative, solutions-oriented recruitment strategies tailored to diverse student populations.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.

Familiarity with marketing tools (e.g., email campaigns, social media) is a plus.

Able to commit to a hybrid work schedule which currently entails 1 required full day/week in office in addition to other in-person programming needs (in-person program sessions, program events, etc.).

Background in technology or STEM fields is a strong advantage.

Proficiency in written and spoken Spanish is preferred but not required.
