This position is responsible for the support of speaker management, planning, and execution of AANS program content for annual meetings, including plenary sessions, abstract sessions, breakout sessions and ticketed educational sessions. The Education Program Coordinator participates in the documentation process for adherence with continuing medical education requirements. Under the supervision of the Senior Manager, Education Programs, prepare committee documents and reports for the AANS Scientific Program Subcommittee. This position also supports program and speaker engagement for all AANS courses throughout the year.

This position also supports program and speaker engagement for all AANS courses throughout the year.
Key Responsibilities
- In coordination with the Senior Manager, Education Programs and Director of Education, supports the efforts of the Scientific Program Committee in the planning and implementation of the educational program and sessions by collating collected information related to the production of program content, agendas, and meeting materials.
- Coordinates speaker invitation process and communications for assigned annual meeting sessions, courses, and abstract presentations and other AANS live courses, as assigned. Processes changes and responds to all inquiries leading up to and during the event.
- Collects financial disclosure information and other all required speaker forms, documenting for CME compliance as well as adherence to AANS protocols.
- Interfaces with faculty and internal staff to confirm the specific needs (i.e. meeting room set up, audio-visual equipment, vendor equipment, etc.) for all assigned educational courses and programmatic sessions. Assist Meetings Department staff to ensure floor plans and function sheets incorporate critical requirements of each session.
- Assists in assembling and proofing educational program copy for inclusion within meeting materials, e.g., Marketing content, Quick Planner, event App, event website, etc. Ensures timely updates on programmatic content, as needed, on the web site. Supports other marketing strategies as appropriate.
- Coordinates aspects of assigned the annual meeting abstract submission process. Participates in award selection, notification, and distribution for all plenary and scientific awards. Supports implementation and communication of the annual Call for Scientific Programming.
- Provides administrative support to AANS live, regional courses and events including distribution of attendee and faculty schedules, packing and tracking course shipments, and supporting event registration.
- Monitors, processes, executes, and reconciles payment for expenses pertaining to educational programs; speaker expenses, honoraria, and award checks for assigned events. Participates in the budget development process that includes setting and measuring revenue targets throughout the year.
- Provides on-site staff support for assigned Scientific Meetings and other AANS sponsored educational courses.
- Performs other job-related duties, as assigned by management.
- College degree required.
- 2 years of prior experience as program/educational coordinator, project management and meetings support. Previous association experience and working with medical professionals preferred. Knowledge of ACCME criteria helpful.
- Excellent and accurate interpersonal, oral, and written communication skills.
- Strong attention to detail, ability to demonstrate accuracy, efficiency, while working in a fast-paced team environment.
- Capable of managing many projects at once, working with multiple people and able to prioritize job tasks and independently manage one’s time to meet project deadlines.
- Proficient in Microsoft Office, specifically Outlook, Word, Excel, and PowerPoint required. Experience with Cadmium preferred.
