We are seeking a highly organized and detail-oriented Administrative Assistant & Bookkeeper to support our leadership team and manage financial records. Key Responsibilities:
Administrative Support:
- Provide direct support to the leadership team, managing calendars, scheduling meetings, and handling correspondence.
- Prepare reports, presentations, and other business documents as needed.
- Maintain and organize company files, ensuring confidentiality and accessibility.
- Assist in coordinating real estate transactions, project timelines, and communications with vendors and clients.
Bookkeeping & Financial Management:
- Maintain accurate financial records, including accounts payable, accounts receivable, and bank reconciliations.
- Process invoices, payments, and expense reimbursements.
- Generate financial reports, including profit and loss statements and cash flow analysis.
- Assist with budgeting, forecasting, and financial planning.
- Work with external accountants to ensure compliance with tax regulations and audits.
Qualifications & Requirements:
- Experience: 2 years of experience in bookkeeping and administrative support (real estate industry experience is a plus).
- Education: Associate’s or Bachelor’s degree in Business Administration, Accounting, Finance, or a related field preferred.
- Technical Skills: Proficiency in QuickBooks, and Microsoft Office (Excel, Word, Outlook).
- Organizational Skills: Ability to multitask, prioritize responsibilities, and meet deadlines.
- Attention to Detail: Strong accuracy in financial reporting and administrative tasks.
- Communication Skills: Excellent verbal and written communication skills.
- Trustworthiness: High level of discretion with sensitive financial and business information.
