POSITION SUMMARY:
The Human Resources Administrator will perform administrative tasks and offer support to the Human Resources Department. Additional responsibilities include record and employee documentation maintenance, management of employee inquiries, payroll processing administration, employee onboarding and offboarding, weekly/monthly reporting and other duties as assigned. This position requires the utmost confidentiality as well as attention to detail, the ability to work under tight deadlines and multi-task.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintains accurate and up-to-date human resources files, records, and documentation. Safeguards the integrity and confidentiality of the data therein.
- Performs routine audits of HR files and records to ensure that all required documents are collected and maintained appropriately.
- Handle personal, confidential, and time-sensitive materials and activities with accuracy and complete confidentiality.
- Creates electronic personnel files and ensures the New Hire Personnel File Checklist is complete and accurate.
- Ownership of ACI’s onboarding process for all new staff to include the HR Orientation and Onboarding Presentations for each New Hire Training Class. (Onsite & Remote)
- Processes employee separations and ensures ACI’s termination of employment checklist is complete and accurate.
- Tracking of terminated employee equipment and follow up on the equipment return process as necessary.
- Responds to employment verifications and garnishments as needed for current and terminated employees.
- Responsible for weekly and monthly HR reporting.
- Responsible for maintaining the Salary Increase Report and processing of annual performance reviews, merit increases and PAN forms accordingly.
- Maintains the progressive disciplinary action log and related employee documentation.
- Assist in monitoring and documenting “ACI Call-In Line” voicemails.
- Conducts weekly under-hours reporting along with a timecard review for accuracy and compliance with federal, state and local laws.
- Performs periodic audits of personnel files and records to ensure that all required documents are collected and filed appropriately.
- Assist with multi-state biweekly payroll processing in accordance with all federal, state and local laws.
- Maintains the data within the Human Resources Departmental page on ACI’s intranet.
- Provides administrative support to HR Director.
- Assist in the collection and processing of HR mail each week. (Onsite)
- Assist with New Hire Training classes and preparation as needed. (Onsite)
- Comply with company policies and procedures (to include all IT required security and privacy policies and procedures), client standards and all applicable federal, state and regulatory laws.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS
- Excellent verbal and written communication skills.
- Outstanding interpersonal skills with the ability to manage sensitive and confidential information situations and/or documentation with tact, professionalism and diplomacy.
- Exceptional time management skills with a proven ability to meet deadlines.
- Proficient computer skills including Microsoft Word, Excel and PowerPoint.
- Ability to create visual descriptions of findings and present them to staff at varying levels in the organization.
- Knowledge of HRIS/Payroll software.
- Knowledge of timekeeping software.
- Proactive and independent with the ability to take initiative in a multitask environment, as well as part of a team.
- Knowledge of federal, state and local laws regarding employment and labor practices, HR and HR policies.
PREFERRED QUALIFICATIONS
- At least one (1) year of collections industry experience.
- Bachelor’s degree in one or more of the following: Human Resources, Communications, Psychology, Business Administration, and/or Teaching or equivalent in Human Resources experience.
- Experience with ADP Workforce Now, ADP Talent Management & Screening Services, PlanSource, and/or Attendance on Demand.
PHYSICAL REQUIREMENTS
- Prolonged periods of sitting at a desk and working on a computer with multiple displays.
- Must be able to lift up to 15 pounds at times.
- Dual hand dexterity/repetitive use of hands 80% of the time (typing on computer and dialing phone).
- Ability to speak proper English grammar and use proper telephone etiquette.
- Ability to hear.
- Simple/light grasping required both hands 80% of the time.
- Typical noise level for the work environment (moderate noise).
- Close vision required (clear vision on 15-inch or larger computer monitors).

- Remote workspace must meet the following criteria:
- Remote workspace must be quiet, secure and distraction-free any-provided free.
- Must have a reliable internet connection to connect directly (not via wi-fi) to a company provided equipment to a router.
- Must be able to work with IT representatives to troubleshoot connectivity issues.
- Must meet ACI’s security and safety requirements.
