JOB SUMMARY: A-C-T Environmental & Infrastructure seeks a receptionist with the ability to be a positive ambassador of the company with the ability to provide support and assistance to individuals and departments by helping them meet job responsibilities and keeping clients/guests happy. May assist other administrative staff with overflow work.


DUTIES & RESPONSIBILITIES:

  • Answer, screen as directed and route all incoming calls and direct incoming calls to their proper recipient while maintaining professionalism. This includes taking and relaying messages as needed
  • Greet guests with a warm welcome and answer basic questions regarding the business prior to announcing them to the appropriate party before ensuring that visitors are properly documented
  • Open and close lobby, front desk and phones for business
  • Oversee the distribution of incoming and outgoing mail. This includes signing for, sorting, eliminating junk mail, identifying those of the highest priority and distributing to the respective recipient or in the appropriate mail slot
  • Coordinate approval signatures for purchase orders and payables
  • Provides a variety of support for project-based work sch as word processing, spreadsheet and database entry, reporting, photocopying, faxing, mailing and filing
  • Keep the reception area and conference rooms stocked with supplies for employees and guests
  • Draft correspondence, manage specific calendar activities, file documents
  • Setting up conference rooms for staff meetings
  • Assist with administrative details for office events, including catering orders and continuing education reporting
  • Telephone system administrator with support from IT Department
  • Assist with travel arrangements
  • Enter expense reports for daily projects
  • Assist administrative team as needed with all other duties as assigned


REQUIRED SKILLS & ABILITIES:

  • Exhibit strong interpersonal, communication, and organizational skills
  • Basic knowledge of standard office software programs: Basic skills in Microsoft Outlook, Word, Excel and Adobe Acrobat Standard.
  • Coordinate workflow and prioritize tasks
  • Comfortably interact with individuals of all professional levels and maintain effective working relationships with them
  • Present a professional appearance, attitude, and demeanor
  • Preserve confidentiality of sensitive information


EDUCATION & EXPERIENCE:

  • High School diploma required and 2 years of experience in a similar position.
  • Must be proficient in Microsoft Office Suite
  • Ability to create and assemble professional documents.
  • Possess basic clerical and proofreading skills.
  • Experience in a professional office setting is preferred.


PHYSICAL REQUIREMENTS:

  • May require the ability to sit for long periods of time, stand, walk, and manipulate (carry, lift, move) light to medium weights of 10-30 pounds.
  • Requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate technical equipment, read technical information and to analyze complex data.
