Summary
To manage total operations for an Urgent Care Clinic. Manage all non-physician clinic staff. Ensure quality of patient care. Ensure maintenance of clinic building and supplies. Ensure complete and accurate charges and billing attributed to each patient.
Essential Duties and Responsibilities
- Interview and select individuals for front office medical receptionist, medical assistant, x-ray, providers and other positions – have a professional network.
- Create and Manage work schedules and ensure optimal staffing across functional areas within clinic.
- Supervise, evaluate, and discipline non-physician staff.
- Ensure staff compliance with company policies and procedures. And state and federal rules and regulations and compliance.
- Ensure employees are adequately trained to perform assigned duties safely and correctly.
- Monitor clinic activity and patient flow to ensure efficient and effective patient care and a healthy patient flow.
- Ensure that medical care is delivered in accordance with medical director and physician instructions.
- Investigate and resolve patient and staff complaints, referring issues to others as needed.
- Ensure compliance with front office and back-office procedures.
- Ensure accuracy of financial transactions as recommended by the franchisor.
- Ensure maintenance and cleanliness of facility through use of clinic staff and other support staff.
- Create/Manage – “Clinic Opening and Closing Procedures/Tasks”
- Ensure adequate stock of regular supplies and place orders for needed inventory.
- Regular attendance to ensure efficient clinic operations – including weekends.
- Manage morale and expectations of staff. Motivate and Discipline as needed.
- Manage Patient Billing. Play an active role in resolving patient billing and claims. Closely working with billing company to ensure accurate billing and compliance.
- Familiar with HR/Hiring systems like Indeed, ZipRecuirter, Linkedin, Monster etc.
- Have knowledge/experience of setting up Payroll systems like ADP, Paychex etc.
- Social Media Marketing, patient reviews, engagement and monitoring experience.
- Work closely with the Business Development Team.
- Great Customer Service Skills. Be actively engaged with patients and follow up.
- Back Office Accounting and experience with Quickbooks.
- Diligently follow and align with goals and responsibilities assigned by Management.
- Have EMR specifically eCW (E Clinical Works) and Docutap/Experity experience.
- Lead team meetings and develop training programs for the team.
- Ensure Alignment with Management and impact P&L of the operation.
- Participate in special projects as needed.
Qualifications
- College degree preferred.
- Minimum of 3-5 years of experience working in a supervisory role in a medical office/urgent care
- Computer proficiency, MS Office, Email, Word, Excel, PowerPoint, collaboration tools, EMR, Billing Systems, Online Systems.
- Demonstrated skills in written, verbal and consultative communication.
- Ability to deliver high levels of customer service and achieve customer satisfaction.
- Understanding of compliance and regulatory guidelines (HIPAA, OSHA, etc.)
- Understanding of revenue cycle management.
- Medical Assistant or LVN or other clinical certification is a definite plus.
- High attention to detail and ability to focus.
