PRINCIPAL RESPONSIBILITIES:
The Administrative Assistant, Advancement Operations is responsible for a high level of multi-tasking across all core administrative functions for the Advancement team. Under the guidance of the Manager, Advancement Operations, the Administrative Assistant will assist with updating and maintaining the Advancement database and records, including precise and timely data input, report generation and distribution, and submission of reports, requests, and materials to the AFI Finance department.
PRINCIPAL DUTIES:
- Assist the Manager, Advancement Operations in fulfilling the data needs of the department.
- Accurately and efficiently support the processing of donations, gifts, pledges and event contributions for the Advancement Operations team.
- Work with Advancement team to ensure records in Tessitura are correct and updated.
- Answer internal and external inquiries to help facilitate donations to AFI.
- Proofread donor acknowledgement letters and other advancement communications to ensure correct spelling, punctuation and grammar are utilized, and that AFI style guide is adhered to and followed.
- Support Advancement greater fundraising goals by providing administrative support in various capacities including research corporations, foundations and individuals.
- Prepare timely completion of internal forms and purchase orders, as well as donor invoices and other materials.
- Support day-to-day scheduling, note-taking, and planning needs of the Advancement Team.
- Perform other duties as assigned.
EXPERIENCE/SKILLS REQUIRED:
- Minimum two years of experience as an Administrative Assistant performing a broad spectrum of core general administration functions for a senior level executive.
- High level of proficiency with Microsoft Office (especially Outlook, Word, and Excel); comfortable working in an iOS-based environment.
- Quick and flawlessly precise data entry skills a must.
- Strong time management, organizational and multi-tasking skills coupled with the ability to work independently with minimal supervision, as well as a member of a high functioning team, in a fast-paced environment. Background in nonprofits and fund-raising, knowledge of terminology, and experience with nonprofit donor databases strongly preferred.
- Ability to work strategically and collaboratively across the organization.
- Ability to work well under pressure with tight deadlines and multiple priorities.
- Excellent presentation, interpersonal and communication skills, including strong oral and written skills, as well as excellent grammatical and proofreading abilities.
- Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture.
- Strong diplomacy skills and consistent professionalism, including the ability to maintain absolute,
iron-clad confidentiality and discretion.
- Ideal candidate is a self-starter, with exceptional resourcefulness, a positive and professional attitude, strong self-motivation and self-initiative, and the ability to take direction and shift priorities with ease.
