Procurement Clerk
Department: Maintenance
Job Title: Procurement Clerk
Work Schedule: 7:00 AM to 4:00 PM, Monday - Friday, Overtime as required.
Reports to: Maintenance Foreman
JOB SUMMARY:
- The Procurement Clerk is responsible for all ordering and inventory of necessary spare parts, raw materials, and other supplies as required to maintain the efficiency of the plant.
- The Procurement Clerk must also develop relationships with the suppliers the plant relies on to get the best pricing and service.
- The person that fills this job will also be expected to assist in developing and maintaining the plant’s equipment database.
PRIMARY DUTIES:
Specific duties and responsibilities include but are not limited to:
Maintenance
- The Procurement Clerk will maintain a useable parts inventory system, including the layout of the spare parts rooms and other storage locations.
- Provides initial and continued support of the plant equipment’s spare parts storage (bar code system).
- Investigate parts and materials requests as requested to maintain efficient operations of the plant.
- Issues and properly documents all plant purchase orders.
- Receives and properly stores all incoming parts.
- Documents receipt of all incoming parts and processes receipts for payment.
- Assist in tracking spending versus available budget.
- Will be expected to assist plant personnel in locating required items, either in the store room or locating a supplier.
- Must possess some mechanical skills and knowledge as to allow for proper parts procurement.
- Will be expected to maintain, document, and modify if necessary, the plants parts inventory.
- Will be expected to answer and respond to calls during off hours to assist in locating spare parts.
Safety
- Procurement Clerk has the responsibility to participate in all required safety training and meetings along with meeting all American Gypsum, DEP, and OSHA safety requirements.
- Be familiar with all OSHA and DEP regulations.
- Operate in a safe manner following all plant and departmental safety rules and procedures.
- Maintain excellent housekeeping in the maintenance shop and parts storage areas.
- Ensure that all safety equipment is maintained and stored according to suppliers’ recommendations.
ADDITIONAL DUTIES:
- During maintenance down time and unplanned machine breakdowns you may be required to perform mechanical duties as needed.
- May be directed by Department Managers in addition to the Maintenance Foreman.
- Must be flexible with job duties. You may be required to fill in on other jobs or in other departments when the business or organization is short-handed.
- Other duties as assigned.
MACHINES, TOOLS AND EQUIPMENT:
Must be able to operate:
- 5,000 lb, 10,000lb and a 15,000 lb fork truck
- Scissor Lift
- Pallet Jack
- Dock Leveler
- Sweeper
Must know how to use:
- Calipers
- Tape Measure
- Voltage Meter
WORK EXPERIENCE AND EDUCATION REQUIREMENTS:
- A minimum of a high school diploma is required.
- Prior purchasing and receiving experience is required.
- Prior inventory management experience is required.
- Prior pricing negotiation experience is required.
- A strong mechanical background is preferred.
- Experience in an industrial manufacturing plant is preferred.
- Strong observational and diagnostic skills are preferred.
TECHNICAL REQUIREMENTS:
- Good math skills are required to make precision measurements.
- Strong computer skills are required in word processing, e-mail, spreadsheets and databases for data entry and inventory analysis.
- Written communication by hand and by computer is required to prepare reports and for business communications.
PHYSICAL REQUIREMENTS:
- Procurement Clerk must be able to stand or walk up to 80% of the assigned work shift.
- Must be able to lift 40lbs.

WORK ENVIRONMENT AND CONDITIONS:
- The position requires work in the plant, mill, maintenance shop, blending building and offices.
- The plant areas are not heated or air conditioned.
- Hearing protection is required in all areas outside of the offices and laboratory.
- Dust masks are available to use with nuisance dust.
- Must be physically capable of climbing stairs and ladders and of other means of accessing equipment and work areas to get parts information if necessary.
- Adequate vision and hearing will be required for safe pedestrian movement and inspection of equipment and parts.
- The job requires good organizational skills and the ability to be flexible in a fast-paced environment.
- Must know how to operate a forklift and a man lift (equipment specific training will be provided)
- Must be willing to be on call to provide assistance in resolving production upsets or machine breakdowns.
