Overview
We are seeking a detail-oriented, organized, and self-sufficient Administrative Support team member to join our team. The successful candidate will be responsible for accurately entering and maintaining relevant client information and project related documentation into company operations software in a timely manner. This role requires strong organizational and mathematical skills, computer skills, time management skills, and attention to detail to ensure seamless operations within our projects.
In addition to data entry tasks, the Administrative Support team member will act as support staff for engineering, estimation, and project management team members, assisting them in compiling and organizing past, current, and future project documentation, as well as other miscellaneous project related tasks.
Duties
- · Enter and maintain accurate client and project information into company operations software.
- · Input documents for new projects, ensuring all details are captured correctly.
- · Record contract information, material lists, vendor quotes and all other relevant project documentation, updating and maintaining records as necessary to reflect current project statuses and change orders.
- · Organize and maintain various project-related paperwork and documentation.
- · Assist in preparing documents, reports, and presentations as needed for internal and client-facing meetings.
- · Communicate effectively with purchasing team members to place and track material orders for projects.
- · Assist in resolving any discrepancies or issues related to data entry or documentation.
- · Coordinating and scheduling meetings as needed by the Advanced Tech team leads
- · Managing project documentation for all projects in the Advanced Technologies Division
- · Preparing travel arrangements, expense processing, and other various administrative duties as needed for Advanced Technologies team members
- · Attending project meetings and tracking action items and follow-up tasks, as needed
- · Researching information to support other teams and departments as needed
- · Preparing invoices, estimates, etc.
- · Keeping track of and reporting on project progress invoicing
- · Completing any tasks assigned by the Advanced Tech Manager in an efficient and timely manner
- · Taking minutes and creating progress reports
- · Tracking project expense
Qualifications
- High school diploma or equivalent; additional education in accounting or business administration is a plus.
- - Proven experience in data entry or administrative support, preferably within a construction or project management environment.
- - Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- - Excellent attention to detail to ensure accuracy in data entry and documentation.
- - Basic accounting knowledge and experience with accounting software preferred.
- - Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with Viewpoint Spectrum is a plus.
- - Strong written and verbal communication skills.
- - Ability to work both self-sufficiently and collaboratively in a team-oriented environment.
