PRIMARY FUNCTION : This position will be responsible for the general functions of shipping and invoice management to include communicating with vendors, material facilitation, and purchase order management. ESSENTIAL DUTIES AND RESPONSIBILITIES : Contact vendors and shippers to ensure that supplies / materials are received at the warehouse to meet construction schedule Communicate with freight / transportation contacts to facilitate appropriate / timely delivery of shipments Communicate with freight / transportation contacts to facilitate appropriate / timely processing of shipping documents for customs clearance, etc. Coordinate receipt of goods with site and home office procurement departments Create / Maintain shipment tracker Arrange for distribution of material if necessary Inspect products when necessary Facilitate flow of materials in support of projects, to include coordination with site material managers as needs are updated Monitor financials, validate shipping invoices Verify that Purchase Orders match orders shipped and material invoices Other duties as assigned. KNOWLEDGE, EXPERIENCE, AND SPECIAL SKILLS REQUIRED : Proven problem-solving ability Proficiency with Microsoft Office software Excellent planning, organizational, verbal and written communication skills. Detail-oriented, Self-motivated; little supervision needed. Ability to prioritize tasks and to manage multiple tasks and coordinate activities to meet deadlines is critical. Courteous, professional, diplomatic. High level of confidentiality. Must be authorized to work in the U.S. Must be able to obtain, and maintain a U.S. Security Clearance.
