GENERAL DESCRIPTION : Responsible for assisting with day-to-day posting and reporting on trust accounts. Helps ensure that accounts are administered according to bank policies and procedures, and the Texas Trust Code.

ESSENTIAL FUNCTIONS OF JOB :

1. Responsible for setting up, monitoring, reviewing, and maintaining personal trust accounts on trust accounting system.

2. High quality, verbal and face-to-face empathetic interaction with clients, accountants, attorneys, personal trust administrators, investment staff, and other areas of the trust department.

3. Help administer personal trust accounts as questions and problems arise from trust customers, other trust staff, and professionals associated with the account working towards a satisfactory resolution of problems.

4. Assume decision-making authority towards the accomplishment of duties and problem resolutions relating to trust accounts.

5. Close and distribute off assets of closed accounts on trust accounting system. Perform all other duties as required and assigned by the Manager.

6. Perform any other related duties as required or assigned.

Requirements : REQUIRED SKILLS :

1. Must be proficient with 10-key (by touch); alpha / numeric data entry; spreadsheets, word processing, basic typing, and excellent PC skills.

2. COMMUNICATION SKILLS : Ability to read, write and understand English; ability to speak clearly, confidently, and effectively when greeting customers, clients, or vendors; must possess excellent interpersonal and customer service skills.

3. CRITICAL THINKING SKILLS : Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists; ability to utilize common sense understanding in order to carry out written or verbal instructions; ability to deal with problems involving several known variables in situations of a routine nature.

4. SUPERVISION RECEIVED : Must be able to work under limited supervision; standard practice enables the employee to proceed alone on routine work, referring any questionable cases or issues to direct supervisor.

5. PLANNING : Considerable responsibility with regard to general assignments in planning time, method, manner and / or prioritizing tasks; may also occasionally assist in the planning of work assignments performed by others within a limited area of operation. Must possess excellent organizational skills and attention to detail.

6. DECISION-MAKING : Performs work operations which permit frequent opportunity for decision-making of minor importance which would affect the work operations of co-workers and the organization’s clientele.

7. MENTAL DEMAND : Very close mental demand; multiple tasks requiring very close and continuous attention and a high degree of concentration and focus to limit errors. Must be able to work effectively while multi-tasking in a high-volume environment.

8. PUBLIC CONTACT : Regular contact with patrons; involves furnishing and obtaining information for purposes of informing those they have business with; must exercise sound judgment on the type of visitor needing attention and the proper way to handle each one. Be confident in face-to-face interactions with clients, COI’s, prospects, and guests; greet each visitor and offer refreshments.

9. EMPLOYEE CONTACT : Regular contact with co-workers within the department, office, or enterprise, which will require coordination of efforts generally in the normal course of performing duties; requires tact in discussing problems, presenting data, and making recommendations.

10. ACCURACY : High level of accuracy required; processes and communications must maintain a degree of confidentiality; responsible for setting up, monitoring, reviewing, and maintaining personal trust accounts on trust accounting system; must pay special attention to tasks requiring repetitive input and / or review; as a proofreader, attention to detail is critical.

11. TRAINING : Must stay up to date on all regulatory and departmental training.

PHYSICAL REQUIREMENTS and WORKING CONDITIONS : While performing the essential functions of this job, this position is regularly required to sit, stand, talk or hear; use hands to finger, handle or feel and frequently are required to reach with their hands and arms and occasionally stand, walk, climb or balance; may occasionally lift, move, push or pull up to 10 pounds. Specific vision abilities required by this job include close vision. This is an indoor position and the noise level in the work area is usually moderate.

REQUIRED EDUCATION and EXPERIENCE :

Knowledge of a specialized field (however acquired), such as basic accounting, computer, etc. equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 12 to 18 months related experience and / or training; or equivalent combination of education and experience.

REPORTING RELATIONSHIP :

This position reports directly to the SVP / Trust Administration. The SVP / Trust Administration reports directly to the EVP / Chief Investment Officer, who reports to the President / Chief Executive Officer of American National Bank & Trust.

OTHER :

The Administrative Assistant is responsible for “waking up” the office and is expected to be punctual. Hours are 8 : 00am-5 : 00pm, so you should be at your desk and ready to work at 8 : 00am. You should contact your supervisor at least thirty (30) minutes prior to your scheduled start time, to alert them to being late or absent, so arrangements can be made for covering your desk.
