GENERAL DESCRIPTION:
This position heads up the Trust Operations area and has a strong management responsibility. They are responsible for management and coordination of the daily operations of the Trust Department and assisting with the administration of all trust division accounts.
ESSENTIAL FUNCTIONS OF JOB:
- Supervise the Trust Operations team.
- Accountable for the smooth, error-free functioning of the Trust Operations department.
- Provide high quality internal service to the Administrative and Investment areas.
- Liaison between Operations and Administrative teams - usually at the manager’s level.
- Respond to client and administrator inquiries.
- Primary overseer of the operational aspects of the onboarding process.
- Review daily transactions for accuracy.
- Liaison with Trust Accounting vendor.
- Problem resolution (operational).
- Support the Risk Management/Compliance functions of the organization.
- Maintain current understanding of regulations as they relate to Fiduciary and Investment issues.
REQUIRED SKILLS:
- Must be proficient with 10-key; alpha/numeric data entry; spreadsheets, word processing, basic typing and excellent PC skills.
- COMMUNICATION SKILLS: Ability to read, write and understand English; ability to speak clearly, confidently and effectively when communicating with coworkers, clients, vendors and auditors/examiners; Must possess excellent interpersonal and customer service skills.
- CRITICAL THINKING SKILLS: Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists; ability to utilize common sense understanding to carry out written or verbal instructions; ability to deal with problems involving several variables in situations of a routine nature.
- SUPERVISION RECEIVED: Must be able to work under limited supervision; standard practice enables the employee to proceed alone on routine work, referring any questionable cases or issues to direct supervisor.
- PLANNING: Considerable responsibility regarding general assignments in planning time, method, manner and/or prioritizing tasks; assist in the planning of work assignments performed by others within area of operation. Must possess excellent organizational skills and attention to detail.
- DECISION-MAKING: Performs work operations which permit frequent opportunity for decision-making of significant importance which would affect the work operations of co-workers and the organization’s clientele.
- MENTAL DEMAND: Very close mental demand; multiple tasks requiring very close and continuous attention and a high degree of concentration and focus to limit errors. Must be able to work effectively while multi-tasking in a high-volume environment.
- PUBLIC CONTACT: Occasional contact with clients on routine matters and directing them to other bank or trust department personnel as appropriate. Be confident and cordial in face-to-face interactions with clients, COI’s, prospects and guests.
- EMPLOYEE CONTACT: Regular contact with co-workers within the department, office and bank, which will require coordination of efforts generally in the normal course of performing duties; requires tact in discussing problems, presenting data and making recommendations.
- ACCURACY: High level of accuracy required; processes and communications must maintain a degree of confidentiality; responsible for monitoring and reviewing accounts on the trust accounting system; must pay special attention to tasks requiring repetitive input and/or review; attention to detail is critical.
- TRAINING: Must stay up to date on all regulatory and departmental training.
REQUIRED EDUCATION and EXPERIENCE:
- Minimum of 10 years of trust operations and/or administrative experience.
- Minimum of 3 years of supervisory or management experience.
- Minimum of 3 years of experience with securities movement and control.
- College degree (required).
- Trust Certifications (Preferred but not Required).
- Trust Administration experience (Preferred).
- Strong interpersonal skills (Required).
- Ability to maintain a positive and professional work environment (required).
- Knowledge of Trust regulations, compliance and other legal matters (preferred).
REPORTING RELATIONSHIP:
This position reports directly to the Director of Fiduciary Operations & Compliance. The Director of Fiduciary Operations & Compliance reports directly to the EVP / Chief Investment Officer, who reports to the President/CEO of American National Bank & Trust.
PHYSICAL REQUIREMENTS and WORKING CONDITIONS:
While performing the essential functions of this job, this position is regularly required to sit, stand, talk or hear; use hands to handle or feel and frequently are required to reach with their hands and arms and occasionally stand, walk, climb or balance; may occasionally lift, move, push or pull up to 10 pounds. Specific vision abilities required by this job include close vision. This is an indoor position and the noise level in the work area is usually moderate.
