JOB SUMMARY:
The Administrative Support Specialist is responsible for supporting the day-to-day operations of Customer Service and Purchasing Teams.
KEY RESPONSIBILITIES:
- Assist the Customer Service and Purchasing teams with data collection, specifically focusing on pricing information
- Answer and direct phone calls in a professional and courteous manner
- Order and maintain office supplies to ensure the offices run smoothly
- Provide support to customer service and purchasing departments during staff vacations
- Research issues with customer orders including missing parts, incorrect shipments, etc.
- Perform general administrative tasks such as filing, photocopying and scanning documents
- Maintain and update records and databases with accurate information
- Assist with scheduling and coordinating meetings and appointments
- Handle incoming and outgoing mail and packages
- Support other departments as needed with various administrative task
MINIMUM QUALIFICATIONS (Knowledge, Skills, and Abilities)
- High school diploma or equivalent; additional qualifications in office administration are a plus
- Proven experience in an office assistant on in a similar role
- Proficient in MS Office (Word, Excel, PowerPoint) and other office software
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Attention to detail and problem solving skills
- Detail-oriented with strong organizational skills.
- Ability to multitask and manage competing priorities.
- Problem-solving and conflict resolution skills.
PHYSICAL DEMANDS:

WORK ENVIRONMENT:
Occasionally, the employee may be exposed to moving mechanical parts, airborne particles, and hot liquids. The noise level in the work environment is usually moderate.
