What You’ll Do:
- Ensure Smooth Onboarding: Verify qualifications, credentials, and training to ensure all mariners meet position requirements.
- Process Documentation: Handle onboarding paperwork, maintain accurate personnel records, and ensure compliance with medical and drug-free requirements.
- Collaborate Across Teams: Work closely with other departments, union hiring halls, and fleet planners to coordinate crew assignments.
- Maintain Compliance & Quality Standards: Track expirations, identify discrepancies, and ensure all necessary documents remain current.
- Customer Service Excellence: Provide direct communication and high-quality support to mariners regarding assignments.
- Process Improvement: Assist in streamlining departmental operations and training to enhance efficiency.
- Reporting & Administration: Generate reports on client work utilization, assignments, and other required data.
- Emergency Support: Be available after hours for urgent crew requests as needed.
- Education: High School diploma or equivalent (1–3 years of admin experience) OR an Associate/Bachelor’s degree.
- Experience: 1–3 years in marine crewing operations preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and familiarity with tools like Filenet, NS5, Smartsheets, Anderson-Kelly, SIU, AMO, and USCG web portals.
- Key Competencies: Strong communication skills, problem-solving ability, process improvement mindset, and project management skills.
- Flexibility & Commitment: Willingness to travel if needed and be on-call for emergency crew requests.
