This role is essential in supporting the sales team by managing vehicle documentation, delivery processes, compliance reporting, and executive support duties. Key Responsibilities:
Sales Support & Coordination
- Prepare and manage all necessary sales documentation, ensuring accuracy and compliance with company policies.
- Track inventory levels for new, demo, and used vehicles, coordinating with service and sales teams to ensure timely vehicle delivery.
- Collect and upload used vehicle information and images for website listings.
Dealer Delivery Reporting
- Prepare and submit monthly Dealer Delivery reports for individual states and regions (e.g., Nebraska, Wisconsin), ensuring timely and accurate reporting.
- Maintain physical vehicle documentation for ambulance deliveries, from initial order to client receipt, ensuring proper record organization.
- Oversee trade-in title storage and manage rental, loaner, and demo vehicle documentation compliance.
Product Knowledge & Client Interaction
- Develop knowledge of ambulance models and features to support the sales team effectively.
- Assist with data collection for new truck orders, obtaining build numbers, coordinating logistics, and preparing bid tabulations.
Marketing & Administrative Support
- Capture delivery images for use in marketing materials and promotional events.
- Collaborate with the Marketing Manager on employee apparel orders and assist with updating sales materials and campaigns.
- Provide executive support on tasks from senior leadership (Blake, Ned, Brett) to ensure smooth and efficient operations.
Documentation & Compliance
- Maintain and update client databases, sales reports, and records, ensuring data accuracy and confidentiality.
- Ensure compliance with documentation requirements, including Car Fax reports and DLL floor plan audits (specific to American Response Vehicles).
- Serve as a liaison between the sales department and internal teams to ensure a seamless experience from order to delivery.
Qualifications:
Experience
- Previous experience in sales coordination, support, or administrative roles is highly desirable.
Education
- A high school diploma is required.
Skills
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize in a fast-paced environment.
- Familiarity with CRM software (Salesforce training provided).
