We are seeking a highly organized and proactive Dispatch/Scheduling Coordinator to support our field operations and ensure smooth day-to-day scheduling. This is a vital role at the heart of our service operations—connecting customers, crews, and jobs across our various service lines.
Job Summary:
As the Dispatch/Scheduling Coordinator, you’ll be responsible for coordinating daily work schedules, supporting crews in the field, and ensuring smooth communication with customers. This role is critical to keeping our operations efficient and our customers satisfied.
Key Responsibilities:
- Answer incoming calls and schedule customer jobs
- Create and distribute work orders for daily assignments
- Track field employee locations and schedules in real-time
- Communicate schedule changes to crews and customers
- Assist with morning crew meetings and warehouse prep
- Monitor job logs for completion and accuracy
- Prepare for future busy periods by confirming crew availability
- Take on other office tasks and projects during slower periods
Qualifications:
- Proficient in QuickBooks, Microsoft Office (Excel, Outlook, Word), and general email communication
- Strong organizational skills and attention to detail
- Able to manage multiple projects and prioritize under pressure
- Clear and professional communication skills with customers, crews, and office staff
- Previous dispatch, scheduling, or administrative experience is a plus
