Administrative Assistant

The Administrative Assistant supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. The Administrative Assistant allows the advisors the assurance they need to know that their practice is being maintained and supported within Ameriprise Financial guidelines.
This role provides administrative support by scheduling meetings, preparing client communications and tracking correspondence. This role is responsible for responding to requests, coordinating/tracking projects and/or managing business-as-usual projects such as filing, copying, scanning, and maintaining client data and records.
As an Administrative Assistant, you will be instrumental in creating and delivering a unique client experience that defines and differentiates the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
Responsibilities and time allocation – will change over time to meet the needs of the practice and can include other duties.
- Schedule client appointments and prepare for meetings
- Conduct client meeting confirmation calls and texts
- Client check-in calls on follow up items
- Greet clients upon arrival and extend hospitality to clients, including food, beverages, as well as additional support needs
- Manage the scheduling of meetings and appointments with external partners, such as wholesalers and business partners
- Set up and maintain client management system
- Work with home office to ensure accurate account setup and resolve issues
- Document client contacts/calls
- Prepare correspondence for advisor signature
- Copy and track all client and practice materials
- Write notes or letters to clients on of administrative nature
- Review and update client information as needed for client review meetings
- Maintain files and records in accordance with the records retention policy
- Assist with marketing activities
- Assist the advisors and fellow team members
- Maintain office supplies and order as appropriate
- Utilization of Advisor Texting platform and managing practice email for timely communication with clients
- Ensuring up-to-date information on all client preferences in the CRM
- Utilizing client preferences to drive a real and engaged client experience

Office hours are 8:15-5:00 Monday through Thursday and 8:30-3:00 on Friday. Work week is expected to be 39 hours/week during the above-referenced office hours.
Job Type: Full-time
Pay: $21.00 - $24.00 per hour
