What are the responsibilities and job description for the Front Desk Receptionist position at Amherst Dental Practice?
We are looking for an energetic person who can multi-task, has a high attention to detail, be dependable, is well-organized but most importantly, be a TEAM player. Dental experience is not required, but a willingness to learn and accountability is.
You will be the first face of the practice. As well as the main contact to take patient phone calls, coordinate patient appointments, and needed patient paperwork. Additional responsibilities are to maintain the schedule flow including scheduling patients, following up on all overdue hygiene patients and patients who have uncompleted treatment, and tracking new patients. The Patient Coordinator is the first person designated to answer the phone and is the person designated to retrieve messages from the answering machine in the morning.

Job duties include but are not limited to -
I. Appointment Scheduling
- See that the Doctor's appointment hours are filled according to daily goals and in accordance with the appointment scheduling guidelines.
- See that the dental hygiene schedule is completely filled.
- Follow up on all broken appointments.
- Keep a call list.
- Fill any broken and cancelled appointments.
- Copy the daily schedule and post it in each treatment room.
- Greet all patients courteously when arriving and make sure the patient charts are in the proper place.
- Promptly indicate to the Doctor and staff when the next patient has arrived.
- See that the phone is answered before the third ring at all times.
- See that the desk is covered at all times.
II. Financial Control
- Check records each day to approach any patients who owe a balance.
- Take responsibility for requesting and collecting money "over-the-counter" daily.
- See that each record is posted on the computer. Be responsible for the accuracy of the computer entries.
- Give receipts to patients paying each day.
- Make a financial arrangement with each preventive maintenance patient in accordance with the financial policy of the office.
III. Marketing
- Market the practice.
- Keep the New Patient Monitor current.
- Send Welcome Letters to new patients.
- Thank referral sources.
- Help educate about and promote dentistry.
IV. Office Procedures
- Organize and maintain the file systems for quick retrieval of information.
- Put together all new patients' records.
- Keep all patients’ records up to date.
- Be responsible for coordinating patient flow.
- Make needed notifications as scheduling changes occur during the workday.
- See that all necessary forms for the next workday are ready before closing the office, and that all the backlog of paperwork is completed before closing the office for the week.
- Keep the Office Manager informed and current on all aspects of the office, patient status, recommendations, etc.
- Be responsible for the appearance of the reception area.
- Be responsible for the appearance of the front desk.
- Assist the Insurance Coordinator as time permits.
Perform any additional duties requested by the Doctors or Office Manager that are not listed above.

Pay: $15.00 - $18.00 per hour
