About the Role:
We are seeking a highly organized and proactive Office Manager to oversee our daily operations and be the glue that holds everything together. This role is essential to ensuring a smooth, efficient, and productive office environment. You’ll need to be excited about juggling multiple responsibilities—bookkeeping, calendar coordination, customer service, team support—and genuinely enjoy the variety that comes with being the go-to person in a small but growing business.
You’ll wear many hats and have a direct hand in shaping our processes, supporting our team, and delivering excellent service to our customers.
Key Responsibilities:
- Manage daily office operations to ensure a smooth and productive workflow
- Handle all aspects of QuickBooks Online
- Provide exceptional customer support—respond to inquiries, solve problems, and build trust
- Oversee calendar management, coordinate appointments, and support scheduling for multiple team members
- Maintain organized and accessible filing systems—both digital and physical
- Use various software tools for data entry, report generation, and correspondence
- Answer phones with professionalism and direct calls appropriately
- Assist with administrative duties such as preparing reports, supporting project timelines, and managing office tasks
- Support senior leadership as needed—may include communications, follow-up, and coordination
- Help foster and maintain a strong, collaborative, and positive office culture
Qualifications:
- Proven experience in office management, administrative support, or a related role
- Hands-on experience with QuickBooks Online is required
- Strong organizational and time management skills—you’re someone who keeps the trains running on time
- Proficiency in Microsoft Office Suite and general comfort with office management tools
- Excellent verbal and written communication skills
- Ability to work independently, take initiative, and solve problems
- Professional, friendly demeanor with a genuine desire to support both customers and team members
- Familiarity with phone systems and customer support practices
- Bilingual skills are a plus but not required
- High attention to detail and a commitment to delivering quality in every task
