The Chief Operating Officer
- Reports directly to the Managing Partner.
- Supervises, directs, and manages the firm’s business and administrative operations, which includes oversight of marketing and business development, human resources, financial affairs and analysis, information technology, facilities, and related functions.
- Recommends policies and procedures consistent with identified strategies and goals and ensures these are implemented; periodically evaluates and makes recommendations for changes or additions to existing policies and procedures.
- Ensures members of the firm's management are furnished with timely and accurate information and resources necessary to support all strategic and business operations.
- Participates fully in senior leadership discussions, decision-making, and execution of strategic initiatives.
- Staffing Requirements and Competencies: Determine required positions and competency requirements in order to maintain efficient and cost-effective workflows, and internal and external client service. Responsible for the recruitment of staff, onboarding, training, performance management and terminations.
- Employee Compensation: Monitors market compensation and benefits, and determines compensation for all administrative staff, and recommend annual merit increases and bonuses to the Managing Partner.
- Office Management: Establish office hours, procedures, holiday, and vacation schedules.
- Financial Reporting: Ensuring the accurate and timely preparation of financial statements, including income statements, balance sheets, and cash flow statements.
- Payroll: Performs all payroll functions including calculating Partner and Of Counsel compensation on a monthly basis.
- Financial Analysis: Serve as a primary analyst of the firm’s finances and profitability, monitoring performance, and bringing important trends and issues to the attention of the Managing Partner for discussion and consideration.
- Expense Approval: As primary or secondary source, approve all expenditures.
- In conjunction with the Director of IT, identify law firm technology developments and trends and recommend to firm management and practice leaders, cost-efficient solutions which effectively serve administrative, legal and client needs.
- In conjunction with the Director of IT, ensure financial, client/matter data and records’ systems are integrated to provide efficient workflow, data integrity, security, and exceptional client service.
- Assign office and prepare office space for personnel.
- Make recommendations on long-term use of office space and relocations, and work with approved architects, consultants, the Managing Partner in planning and build-out requirements.
- Ensure a smooth transition during relocation to new or expanded quarters.
- Coordinate fire and other emergency evacuation procedures and other security-related procedures and policies.
- Assist with the professional liability program, including analysis of insured and retained risk coverage options, and make such recommendations to the Managing Partner on options and coverage levels.
- Administer and oversee all insurance programs and coverage provided or maintained by the firm, including professional, commercial, comprehensive liability insurance and all benefit plans.
- Supervise and maintain all employee insurance information, including enrollment applications and claims and transfers of insurance.
- Manage 401(k) plan in conjunction with the trustees, advisory team, and recordkeeper. Complete censuses, audits and other tasks required for annual maintenance and regulatory compliance

- The individual in this role should have a substantial background in dealing with (i) lawyers; (ii) law firm strategy, administration, information technology, client service programs, human resources, office lease negotiation, space management and economics; and (iii) lateral hires (individuals and groups).
- The Chief Operating Officer is encouraged to join appropriate professional organizations and attend educational seminars. Associated fees and expenses shall be paid by the firm.

It is anticipated that the successful candidate will possess the following characteristics and capabilities:
- Applicants should have 7-10 years of previous experience in a law firm setting. Experience as a senior administrative or operational leader with another type of professional services firm or other relevant organization also considered.
- Proven track record (minimum 5 years) in managing financial records and generating comprehensive financial reports for a law firm. This includes in-depth experience with bank reconciliations, income statement preparation, profit and loss analysis, and other relevant financial documentation.
- Ability to work with limited direction and provide direction and guidance to other staff.
- Demonstrated ability to successfully identify, analyze, and solve complex problems through collaboration and positive communication with others.
- Ability to communicate complex information effectively, both orally and in writing, to all levels of the firm.
- Ability to encourage and motivate employees while maintaining consistent office practices and procedures.
- Must be highly organized and self-directed in approach to work.
- Must be able to manage administrative support staff to accomplish their objectives and goals.
- The successful candidate should have significant experience in a financial or general administrative role in a professional services firm and be comfortable working in a law firm environment.
- A degree in accounting or business administration desired, but a professional designation such as CPA or an MBA is preferred.
Salary : $160,000 - $190,000
