Job Description
Our client is seeking a highly organized, detail-oriented Legal Administrative Assistant to support their attorneys and legal team in the day-to-day operations of the firm. The ideal candidate will possess strong administrative skills, be proficient with e-filing in state and federal courts, and have the ability to manage multiple tasks and deadlines. While previous experience in plaintiff litigation is not required, pre-litigation and litigation experience is required. Knowledge of insurance litigation is highly preferred. This role demands a proactive individual who thrives in a fast-paced environment, maintains professionalism, and is willing to learn and adapt as needed.
Key Responsibilities
- Manage and maintain attorneys' calendars, ensuring all deadlines are met and appointments are scheduled.
- Handle state and federal e-filing in various jurisdictions, ensuring accurate and timely submissions.
- Assist in the preparation and organization of legal documents, including pleadings, discovery, and motions.
- Provide administrative support to attorneys in pre-litigation and litigation matters, assisting with case management, document review, and communication with clients.
- Maintain detailed client files and ensure all documents are properly indexed and organized.
- Communicate with clients, opposing counsel, and court personnel as necessary.
- Perform other general administrative duties, including filing, document preparation, and data entry.
Qualifications
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Attention to detail and accuracy in all tasks, particularly when managing deadlines.
- Excellent communication skills, both written and verbal.
- Ability to work effectively with a team and independently, following direction as needed.
- A high level of professionalism and discretion when dealing with sensitive client information.
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Familiarity with LawToolBox and calendaring systems is a plus.
- Basic financial knowledge is helpful, as some support with financial matters may be required.
- Willingness to ask questions and seek direction when needed to ensure accuracy and efficiency.
