Our client, a major national law firm, seeking a talented and experienced Legal Secretary to support the Firms Infrastructure Group and other transactional teams. The ideal candidate will have extensive transactional experience (ideally with previous experience in Infrastructure and Environment & Land Use) and should be proficient with Microsoft Word including styles, hyperstyles, tables and creating / formatting complex documents. The position will be hybrid remote (onsite 2 days per week) in our Washington, DC office and will report to the Legal Support Services Supervisor.
The successful candidates annual compensation for this position is reasonably expected to be set between $85,000 and $110,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidates qualifications and experience.
Key Responsibilities :
- Prepare, proofread and process legal and court documents, including editing, redlining and creating tables of authorities and contents
- Prepare and distribute internal and external communications, including letters, memos, emails and reports
- Prepare new client / matter intake forms and engagement letters, coordinate with the Conflicts team, General Counsel and Finance Committee as needed
- Oversee expense reports / reimbursements, vendor bills, check requests, through the delegation to Legal Administrative Support
- Support the billing process : assisting attorneys with, proofreading, editing and releasing time entries and prebills while coordinating with the billing team on the mailing of invoices
- Assist with managing the calendars of assigned attorneys : coordinating meetings, making travel arrangements and arranging additional support
- Coordinate and track projects and tasks with Word Processing, Legal Administrative Support, Office Services teams and other Firm teams
- Encourage efficient work practices with attorneys, including electronic prebills, mobile time entry and new technologies as they are rolled out to the Firm
- Maintain administrative and client files in electronic and / or paper format adhering to the Firms information governance policies and best practices
- Support other legal support services department projects and initiatives as needed, including providing back-up support to other legal secretaries Firmwide
