Supporting two high profile C-Suite leaders, our EA will be responsible for managing complex travel arrangements, assisting with project management and relationship development across a wide variety of teams while providing support with expenses, meetings, and events. Our EAs Provide Vital Support To The Team
- Coordinate complex calendars and heavy schedules for supported leadership
- Research, book and organize domestic and international travel, ensuring that travel needs are met within the constraints of the company travel budget and making itinerary changes as necessary
- Assist with guest relations, travel and scheduling as needed
- Manage events for respective leader – including booking dinners, ground transportation and management of guest list
- Act as the point of contact between leadership and employees/clients
- Process expense reports
- Triage email inbox, delegating as necessary
- Plan appointments and offer support to events attended by leadership team members
- Assist with meeting preparation, including collecting agenda items & background materials, creating, and editing presentations, all in coordination with other internal departments and Executive Assistants
- Act as content manager for internal systems of record and collaboration
- Assist with new leadership orientation and training
- Lead yearly planning efforts to coordinate C-Suite and business unit leadership
- Work on special projects, as needed
- Collaborate with multiple other EAs and leaders across the country and overseas
- Uses an advanced knowledge of skills, methods, and analysis to resolve problems and find solutions.
- 3 years of administrative support to executive level leadership required
- Advanced knowledge of Microsoft Team Sites, OneNote, Word, Excel, PowerPoint, and Outlook
- Promotes a culture of high performance and continuous improvement that values teamwork and a commitment to quality
- Ability to execute duties and responsibilities independently and with minimal supervision, think critically, synthesize information from a variety of sources, work collaboratively or independently as required, prioritize effectively, and handle multiple tasks simultaneously, effectively carry out written and oral instructions
- High degree of tact and diplomacy, inspiring trust from all levels of the organization
- Unquestionable personal and professional integrity
- Bachelor’s degree preferred
- Light work, requiring exerting up to 30 pounds of force occasionally and/or up to 10 pounds of force frequently.
- 8:30-5:00pm with flexibility depending on business needs, with occasional on call travel help needed on weeknights and weekends.
