JOB SUMMARY:
Assist the nursing department in maintaining a complete record of residents admitted and discharged from the facility. Prioritize, organize and coordinate nursing station activities such as managing phone calls, receipt and distribution of diagnostic test and other reports to facilitate smooth, efficient unit operations.

JOB RESPONSIBILITIES:
Assist with management and coordination of physician orders and reports.
- Notes, flags, and files faxed and written physician orders for licensed nurse acknowledgement.
- Faxes reports, lab and diagnostic results and notes to physicians as needed.
- Completes necessary laboratory and diagnostic requisitions forms. Communicates new requisitions to ancillary vendors.
- Fax pharmacy orders and special requisitions to pharmacy as needed.
Maintains residents’ medical records in a neat and organized fashion.
- Creates and assembles medical charts according to procedure for each new resident admitted to the facility. Maintains charts in a neat, clean, orderly fashion.
- Dissembles medical charts for residents who are discharged from the facility according to facility procedure.
- Maintains medical charts in sequential order, inserting chart forms and filing as needed.
- Thins charts and overflow as needed, per policy.
- Updates/changes face sheet information, computer information and other forms as needed.
Maintains/updates nursing unit records, schedules, forms and lists as directed.
- Performs all (non-nursing) clerical tasks for the resident unit.
- Prioritizes, organizes and coordinates desk activities for the resident unit.
- Schedules resident external appointments and transportation as needed. Appointments are to be documented on the unit calendar.
- Manages and organizes Laboratory and Diagnostic Requisition book.
Receptionist for nursing unit.
- Greets, directs, communicates with, and assists residents, family members, visitors, and personnel in a friendly, courteous manner.
- Manages incoming calls in a courteous and professional manner, screens calls, and directs them to the appropriate department or person.
- Informs facility personnel of incoming calls and visitors.
- Maintains an updated roster of residents in software system, phone numbers to all resident rooms, emergency phone numbers to all on-call personnel, and department extensions.
- Communicates with appropriate people as necessary for exchange of information, clarification and follow-up.
- Operates call light system, fax and copy machines.
Auditing Responsibilities.
- Conducts audits as assigned by the Director of Health Information Management.
- Distributes and files nursing audits according to schedule.
- Audits all outgoing forms for complete information.
Resident Rights
- Maintain any and all policies and procedures dealing with HIPAA.
- Assure that the residents rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, and the right to wage complaints are followed.
HIPPA and Patient Privacy
- Protects the confidentiality of patient health information at all times.
- Manges the dissemination of patient’s private health information only to authorized persons per written request of the patient or legal responsible party, the Director of Health Information Management or Administrator.
- Retains and secures patient health information electronically and in hard medical record that are maintained at the nursing station.
Customer Service
- Provide compassionate resident care services.
- Establish and maintain positive interactions with internal and external customers, including residents, families, co-workers, vendors and other associates.
Staff Development
- Attends and participates in staff meetings and in-services as directed.
- Serves on committees and task forces as needed.
- Knowledgeable of safety/emergency/disaster procedures.
Assumes other duties as designated by the Director of Health Information Management.
Safety and Sanitation
- Follow all established safety procedures and precautions while operating office equipment.
- Report any and all equipment malfunctions or breakdowns to maintenance and/or your supervisor immediately.
- Report all and any unsafe/hazardous conditions to your supervisor immediately
Physical and Sensory Requirements
- Must be able to move intermittently throughout the workday.
- Must be able to read and write the English language in an understandable manner.
- Must possess sight/hearing senses or use of prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, personnel and support agencies.
- Must be in good health and demonstrate emotional stability.
- Must be able to relate to and work with ill, disabled, elderly, emotionally upset and at times hostile people within the facility.
- May be required to lift, carry, push, pull and move office equipment, supplies, etc., in excess of twenty-five (25) pounds.
- Must be able to assist in the evacuation of residents.

Pay: $17.08 - $19.00 per hour
