Title: Temp - Administrative Assistant

Department: Administration

Job Status: Non-Exempt

Location: Washington, D.C.

Reports to: Senior Manager - Procurement

Summary: The administrative assistant will report directly to the Senior Manager of Procurement in our Estimating department. This is a temporary part-time position. Expected officer hours will be 8:00am - 2:00pm daily.

Primary Duties & Responsibilities:

  • Answer multiple phone calls, take messages, and follow up on requests.
  • Assist with extensive copying, binding, scanning, etc.
  • Check daily to ensure paper and toner are stocked for all copiers (including KIPP machine) and troubleshoot or contact tech support for copier/KIPP issues.
  • Operate the security call box to buzz people in and direct them to the proper dept/personnel (e.g. HR, IT, etc.).
  • Organize the supply room (including labeling, etc.) and take inventory/audit count for all supplies.
  • Refill snacks and kitchen supplies (e.g., plates, forks, knives, water, etc.) and assist with office inventory and track incoming/outgoing supplies.
  • Organize shelves, clean the conference room, and set up for upcoming events (e.g., L-N-L).
  • Sort and organize one-pager shelf, print low stock materials.
  • Track spreadsheets, enter data, update slides on tv monitor, etc.
  • Perform other assigned administrative tasks.

Required Qualifications:

  • Highschool diploma required
  • 0-2 years experience in business/corporate environment.
  • Proficient in Microsoft Office, PowerPoint, and Outlook
  • Maintain and abide by all safety requirements
  • Bi-lingual in Spanish and English

  • Ability to maintain confidentiality
  • Ability to multitask, be organized and prioritize work
  • Excellent experience in creating and delivering informal and formal learning programs.
  • Strong customer service focus, and consistent follow through.
  • Excellent written/oral communication and facilitation skills to effectively communicate information to all levels of employees.
  • Team player who enjoys collaborating and communicating with teammates.

Pay Range: $21 - $23/hr
