Job Summary

The Academic Administrative Assistant is responsible for oversight of the administrative duties within the academic department and ensuring academic integrity within the guidelines of institutional, accreditation, state, and federal policy and regulation. The Academic Administrative Assistant works under the direct supervision of the Director-Education and works with the academic team, student files, and other academic support staff.


Experience Required

Minimum

  1. Minimum of 1 year experience in Education

  2. 1 year of work experience in project management

  3. 1 years experience working in a team-oriented, collaborative environment

  4. Excellent communication skills


Preferred

  1. Proven experience in multi-tasking

  2. Ability to think and react in a high-energy, fast-paced environment

  3. Advanced experience with Excel, Sheets, Word, Docs, and Google Suite

  4. A willingness to roll up sleeves and get things done

Key Responsibilities

  1. Collect Proof of Education (POE) for online enrollment

    1. Determine any outstanding POEs and communicate issues timely with the Director of Education

  2. Assist with Registrar-related support

    1. Assist with the registration of students as necessary.

    2. Work with the Admissions team to ensure new students have a first-term course schedule, complete with days and times

  3. Academic Administration/Record Keeping

    1. Assists with monitoring attendance, communicating with Director-Online Registrars as necessary to ensure compliance

    2. Assist in auditing student records to ensure documentation in a file is complete and uploaded into lmageNow as necessary

    3. Evaluate Proof of Education for students per the POE Policy

    4. Assists with inputting of Transfer Credit on incoming students

    5. Assists Registrar-Online and Director-Online Registrars with other academic-related tasks as needed

  9. Excellent word processing, database management, and graphic skills

  10. Excellent interpersonal, organizational, and planning skills

  11. Ability to manage multiple projects simultaneously

  12. Ability to operate in a dynamic and flexible environment with confidence and poise

  13. Ability to extrapolate and analyze data for outcomes and decision-making

  14. Collaborates effectively throughout the matrix organization toward the attainment of company objectives

  15. Demonstrates and models a strong sense of personal accountability for actions and attainment of company goals

  16. Champions innovation and positive change and adopts creative ways to solve problems

  17. Utilizes highly developed communication skills in alt respects
