Job Title: Project Coordinator

This position is an onsite position at our location in Poway, CA and is not eligible for remote work.
SUMMARY
Project Coordinator is an entry-level position at Anderson. This position supports the Senior Project Managers & Project Managers team by executing multiple tasks in the production process for direct mail projects. Minimal client interaction is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Production
- Tracks orders from inception to completion.
- Provides all necessary written instructions in the required formats for all activities to be performed by each of the following departments to produce the desired programs within approved USPS specifications and customer requirements: Offset printing, Digital printing, Data processing, Letter shop, Mail desk, Shipping-receiving and Delivery.
- Assembles all component parts of the jobs and initiates jobs into production using Printstream software.
- Attends daily production meeting to discuss job updates or issues with other departments.
- Tracks and assures timely movement of client’s jobs through all production processes to assure client schedules are met.
- Requests postage payments in advance of the mail date
2. Print Process
- Routes print proofs through QA.
- Ships print proofs to client for approval.
- Ensures proof and samples materials are provided in a timely manner and that the printing schedule correlates with the required production time to meet the customer’s requirements.
- Creates inventory ID numbers per the Project Managers direction
3. Data Processing
- For simple and or repeat projects at the direction of the Project Manager, completes detailed Data Processing Instructions according to customer requirements and procedures established by the Data Processing department.
- Adheres to all standard operating procedures in submitting instructions for procuring lists, receiving and sending data, processing data to customer’s specifications.
- Coordinates with the Project Manager to verify correct output and reports of all data files prior to submitting for production.
- Provides detailed reports to customers as required.
- Routes personalization proofs through QA.
- Reviews and signs off data processing approval white sheets at the Project Managers direction
- Follows SOP for sign off process
4. Letter shop
- Provides paperwork to the mail desk for renewal of permits and PO Box accounts as required.
- Forwards artwork to USPS for approval when necessary to ensure that all client materials meet all USPS requirements.
- Issues Postage Request Invoices to client.
- Communicates to Project Manager when postage funds are received.
- Checks all postal paperwork (3602’s, 3600’s) against production mail quantity and versions to ensure accuracy.
- Submits all inventory requests to shipping and receiving.
- Compares stock receivers with mail quantity to ensure that there is sufficient material for a project.
- Provides all work orders to production via Printstream for each functional area while following department SOPs
- Communicates any Fed Ex/UPS requirements to shipping.
- Keeps track of all shipments/costs for billing.
5. Administration
- In coordination with the Project Manager, prepares jobs for invoicing by thoroughly reviewing work completed and updating all job parameters on a pre-bill.
- Ensures that all necessary paperwork (i.e. mail statements, outside postage, freight) is accounted for in the shop ticket.
- Promptly completes all billing requirements upon completion of job according to SOP.
- Maintain and manage client postage spreadsheets
- Maintain and manage inventory spreadsheets
- QAs all samples per client requirements.
- Ships samples to client.
6. Other
- Performs other duties and assumes other responsibilities as apparent or assigned, including mutually agreed upon objectives.
QUALIFICATIONS
EDUCATION and/or EXPERIENCE
Bachelor’s degree (B.A.) from a four-year college or university, preferred. 1 to 2 years’ related experience in a Marketing support position, preferred.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports and business correspondence.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, and unit prices. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
OTHER SKILLS
Detailed oriented. Computer literate. Multi-tasking. Some marketing support skills.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to walk; sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to stand. The employee is occasionally required to reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
WORK ENVIRONMENT
While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes or airborne particles, and vibration. The noise level in the work environment is usually moderate.
