Job Description

We are seeking a friendly and organized Receptionist to join our dynamic established Accounting office. In this role, you will work at the front desk of our office and assist our clients and other visitors. Your primary job duties will include greeting clients, answering phones, scheduling appointments, taking payments, troubleshooting questions, receiving documents and packages, distributing tax returns to clients, ordering office supplies, incoming/outgoing mail, some scanning, and other various administrative duties. You will also help keep our records and work areas clean and organized and ensure our office provides a welcoming environment for our clients. The qualified applicant must demonstrate a positive attitude, considerable latitude for independent judgment, professional ethics, appearance, and conduct with the ability to multitask proficiently.

Front Desk Receptionist Duties and Responsibilities

  • Greet clients and other visitors when they arrive
  • Answer client questions and assist when necessary
  • Schedule appointments accurately and with enthusiasm
  • Collect payments and maintain accurate financial record
  • Receive (and check over) and distribute incoming paperwork to the employee responsible
  • Manage incoming/outgoing mail and packages
  • Operate muti-line phone system – direct calls, take messages and relay appropriately
  • Manage inventory of necessary office supplies and coordinate reordering
  • Scan documents into digital file cabinet as needed
  • Other administrative duties as they arise

Front Desk Receptionist Requirements And Qualifications

  • Minimum 2 years of experience at a front desk environment
  • Excellent organizational and time management skills
  • Must be prompt and courteous
  • Ability to multi-task, provide quality customer service, prioritize, and critical thinking in a fast-paced environment
  • Must have the ability to communicate clearly and effectively with client and internal staff in a courteous and friendly manner
  • Efficient in MS Office Suite
  • A high school diploma or General Education Degree (GED) at minimum
  • Bilingual (Spanish) would be a plus
