Responsibilities
- Give every client, visitor and employee a warm welcome and communicate any important information or directions, ensuring a professional and welcoming atmosphere.
- Answer and direct incoming phone calls efficiently and courteously.
- Accurately create and maintain contact records and client matters in the Client Relationship Management (CRM) system.
- Scan and upload documents in our CRM.
- Manage incoming and outgoing mail, faxes and texts.
- Prepare conference rooms for client meetings.
- Confirm meetings with clients and advisors.
- Order and maintain office supplies to ensure smooth office operations.
- Prepare documents for client meetings.
- Provide administrative support to other team members with data entry, copying, scanning, etc. as needed.
- Run local errands as needed.
- Proficiency in handling incoming calls on a multi-line phone system.
- Exceptional interpersonal and communication skills.
- Strong organizational, time management, and customer service skills.
- Keen attention to detail.
- Ability to manage multiple deadlines and work independently in a fast-paced environment.
- Proficiency in Microsoft Office Suite; experience with CRM systems preferred.
- Prior experience in a professional office setting, preferably in a law firm, is a plus.
- High school diploma, G.E.D., or equivalent required.
