JOB TITLE: Accounts Payable Specialist

JOB SUMMARY:
Reporting to the Controller, the Accounts Payable Specialist is responsible for managing and processing vendor invoices, reconciling statements, ensuring timely payments, and maintaining accurate financial records. This role requires strong attention to detail, organizational skills, and the ability to work in a fast-paced environment.
RESPONSIBILITIES:
- Receive, review, and verify invoices and payment requests for accuracy and proper authorization
- Enter invoices into the accounting system and ensure timely processing
- Match invoices to purchase orders and resolve discrepancies
- Prepare and process electronic transfers, ACH payments, and check runs
- Maintain vendor records and ensure compliance with company policies
- Respond to vendor inquiries regarding payments and account status
- Reconcile monthly vendor statements and resolve outstanding balances
- Review and process employee expense reports in accordance with company policies
- Ensure compliance with tax regulations (e.g., 1099 reporting)
- Assist with month-end closing tasks, including AP accruals and reporting
- Support audits by providing necessary documentation and reports

- Other responsibilities and duties as assigned, to ensure the effective utilization of the company’s resources and to ensure customer satisfaction
SKILLS & QUALIFICATIONS:
Required:
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite).
- Strong knowledge of GAAP and AP best practices.
- Excellent attention to detail and problem-solving skills.
- Ability to prioritize and meet deadlines in a high-volume environment.
- Strong communication and interpersonal skills.
Preferred:
- Experience with ERP systems and automated AP processes.
- Knowledge of sales tax, 1099 reporting, and invoice approval workflows.
EDUCATION & EXPERIENCE:
Required:
- High School Diploma or GED
- Minimum of two (2) years of experience with accounts payable or general accounting
- Highly proficient in the use of the Microsoft Office Suite of products: Excel, PowerPoint, Word, Access, Outlook
Preferred:
- Associate or Bachelor’s degree from accredited four-year college or university in Accounting, Finance
