TITLE: Office Coordinator
REPORTS TO: Executive Director
POSITION SUMMARY:
Administrator responsible for record keeping and additional office functions. Provides front desk coverage during specific hours.
RESPONSIBILITIES:
- Management of the cash drawer and donations (i.e. balancing, bank deposits, etc.).
- Processing of donations (i.e. entry, acknowledgement, filing).
- Administrative support for animal records both hard copy and digitally. Includes intakes, adoptions, health records, reporting, lost & found, etc.
- Ensure sufficient materials are maintained. (ex. shelter brochures, office supplies, etc.)
- Front desk duties include phone coverage, greeting / directing walk in customers, volunteer administration, POS transactions, and assisting the Directors as needed on administrative tasks.
- Accounts payable related tasks.
- Role could expand to include involvement in off-site events.
- Assist with updates to the AAF web-site and social media.
- Ad hoc reporting as requested.
- Other duties as assigned.
- Volunteer engagement and management.
TECHNOLOGY TOOLS:
- Clover (point of sale system)
- Donor Snap (donation management)
- Better Impact (volunteer management)
- Microsoft Excel and Word
- Photocopier
- Shelter Manager (animal records management)
REQUIREMENTS:
- Familiarity with “Point of Sale” operations and reporting. Preferably “Clover,” but other POS applications are acceptable.
- Proficiency with Microsoft Excel and Word.
- Organization skills.
- Customer service skills.
- High school graduate.
- Non-Profit experience a plus.
This is a 30 hour / week position working Monday through Friday, 10 am to 4 pm. There is the potential, as workloads warrant, that additional hours may be needed at times.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
