Senior Manager, Facilities
Summary
The Senior Manager, Facilities is responsible for ensuring the maintenance and upkeep of all ACC locations, providing ACC staff and animals a safe and healthy environment. They do this through direct action, facilitating repair and routine maintenance with a small but skilled team at our Queens location, and by liaising with city-wide agencies such as the NYC Department of Health (DOH) and Department of Design and Construction (DDC) for our city-owned locations.
Essential Job Functions:
- Oversee the Queens Facilities Manager, Facilities Coordinators, and Custodial staff, managing performance and efficiency of the team as a whole with a hands-on approach.
- Direct liaison with city agencies regarding maintenance work and managing projects until completion by said agencies.
- Develop, update and implement cleaning and maintenance policies, ensuring the adherence and maintenance of our organization’s goal of a safe and fear free environment for our animals, staff, volunteers, and clients.
Other Responsibilities:
- Lead regular check-ins with each facilities team at each location to address any needs or concerns for that specific location.
- Provide ongoing professional development and growth within the facilities department targeting training and certificate opportunities.
- Collaborate with management of Shelter Operations and various other department to address concerns and operational needs for each location.
- Actively engage with Safety Committee, attending monthly meeting and providing solutions to ensure facilities is addressing staff and management concerns.
- Ensure compliance with building requirements, participating in inspections by agencies including but not limited to OSHA, DOH, FDNY, DDC, and DOB.
- Manage fire alarm systems for all locations, and leading safety drills alongside Safety Committee leadership.
- Collaborate with management to plan and execute facility upgrades including minor construction, office renovation, and room reassignment.
- Develop partnerships with contractors and ensure timely communication, including collecting and comparing quotes, negotiating contracts, facilitating walk throughs, and onsite supervision as needed.
- Ensure contractors are following safety and documentation policies.
- Coordinate with contractors and shelter staff to minimize disruptions to daily operations.
- Ensure completion of all preventative maintenance and repairs are completed.
- Support Director of Operations with developing facilities related standard operating procedures.
- Oversee and monitor facilities department’s supply inventory, equipment, and purchasing activity.
- Oversee daily facilities department’s activities in all locations, ensuring staff coverage and coordination for special events if needed.
- Perform regular facility inspections to assess staff performance and quality of maintenance and cleaning services.
- Evaluate and maintain condition of department equipment, prioritizing safety at all times and recommending replacement when needed.
- Supervise and ensure the correct use of department maintenance equipment, cleaning equipment, and chemical supplies.
- Ensure safety protocols are followed and facilities department consistently maintains a safe environment for staff, volunteers, clients, and animals.
- Fear Free certification within 30 days of hire.
- Complete other duties as assigned by supervisor.
Salary and Benefits:
$73,000- $75,000 Annually based on experience.

Qualifications:
- Minimum of three years’ experience in a facilities management role with direct supervisory oversight of maintenance and custodian staff required.
- Minimum of two years’ experience managing a large public or private facility required.
- A healthcare or animal shelter setting is preferred.
- Experience and knowledge in general building systems such as HVAC, elevators, plumbing, electrical, carpentry, and fire safety preferred.
- FDNY G71 Certificates of fitness required within the first three months, if not already held.
- Valid driver’s license is required and must be in good standing. Will need to travel between all ACC locations, potential vendors, and other locations as needed.
- Bachelor’s degree preferred, or a minimum of four years equivalent hands-on work experience in facilities operations required.
- Strong communication, organization, and detail-oriented skills.
- Proficiency in Microsoft Office programs such as Outlook, Word, and Excel.
- Able to work safely and competently with chemicals and equipment.
- Comfortable working physically demanding shifts that entail both physical exertion and urgency.
- Creative problem-solving skills and able to anticipate and address needs to ensure ACC’s facilities are always in good condition.
- Must be able to lift at least 50 pounds and stand for prolonged periods of time.
Additional certificates preferred and/or willingness to obtain within the first year of employment.
- OSHA General Industry 30-Hour Certificate.
- S-12 City Wide Sprinkler Systems Certificate of Fitness.
- S-95 Supervision of Fire Alarm Systems Certificates of Fitness.
- F-07 Fire and Emergency Drill Conductor Certificate of Fitness.
- G-46 Storage, Handling, Use and Refilling of Non-Flammable Compressed Gas Certificate of Fitness.
- C-92 Supervision of Flammable/combustible Liquids.
Work Environment
At Animal Care Centers it's all hands-on deck. We work together as a team, which means you may be asked to help with tasks that involve working outside in all sorts of weather. As a busy animal shelter in one of the biggest cities in the world it can get noisy inside. Employees should have the ability to remain calm yet professional in stressful situations involving animals and/or members of the public. Animal Care Centers houses hundreds of animals in its facilities at any given time and with that comes fur, odors and other airborne particles in abundance.
