Monroe County Friends of Animals (MCFA) is a 501(c)(3) nonprofit volunteer organization with a mission to provide for and continuously improve the health, happiness, and fortunes of the homeless and abandoned cats and dogs in Monroe County. MCFA owns and operates the Eastbourne Animal Center in Madisonville, TN.
The Office Administrator to the Executive Director is a full-time role that is responsible for overseeing daily business office operations, managing administrative tasks, and ensuring efficient office functioning. This position reports to the Executive Director of the Eastbourne Animal Center and is a key role for our business office.
Responsibilities:
- Assist the Executive Director with development projects, including community outreach, fundraising & events.
- Basic bookkeeping activities, including monitoring and recording office expenses, revenues, accounts payable, and accounts receivables.
- Assist with social media development & marketing strategy.
- Manages incoming and outgoing correspondence, including emails, faxes, mail, and packages.
- Reports any discrepancies to maintain a clear financial record.
- Ensure the MCFA website is kept current and accurate.
- Monitoring and ordering supplies for the MCFA business office.
- Contacting Vendors and scheduling maintenance and repairs for the Center Building and Landscape.
- Filing and organizing records, invoices, and other important documentation.
- Communicate effectively with staff, volunteers, clients, vendors, and donors.
- Provide backup admin support to the animal care team as needed (i.e. vacations, high volume).
- Other duties as assigned.
Minimum Qualifications:
- Ability to work in an animal shelter environment with dogs and cats present.
- Proficiency in Microsoft Office, Google Business Suite, Canva, office procedures, office equipment, and data processing.
- Knowledge of Quickbooks, animal shelter software & donor software.
- Strong decision-making, problem-solving, creativity, and flexibility.
- Excellent communication, interpersonal, prioritization, and multitasking skills.
- Dependable and reliable attendance to ensure timely completion of responsibilities.
Preferred Qualifications:
- Experience updating and maintaining websites.
- Familiarity with marketing, social media, & graphic design programs, particularly Canva.
- Experience supporting fundraising campaigns, events, or donor relations.
