Position Summary
The Office Manager will serve as the operational backbone of ANJ Graphics. You will be responsible for overseeing day-to-day administrative operations, supporting production and sales workflows, maintaining client records, managing vendor relationships, and ensuring the smooth running of the office. This role requires strong organizational and communication skills, a proactive mindset, and a high level of professionalism.
You’ll work closely with ownership, design, production, and sales teams, helping to align internal operations with strategic goals. The ideal candidate is detail-oriented, systems-driven, and thrives in a creative yet deadline-driven environment.
Key Responsibilities
- Manage and streamline all front-office and administrative operations
- Oversee office systems, supplies, scheduling, and vendor management
- Support the sales and production teams by organizing customer files, job orders, and timelines
- Maintain accurate and up-to-date client, vendor, and employee records
- Assist with basic bookkeeping, invoicing, and accounts payable/receivable coordination
- Represent ANJ Graphics with professionalism when interacting with clients, vendors, and community partners
Required Qualifications
- Exceptional organizational, time management, and multitasking abilities
- Strong written and verbal communication skills
- Proficiency in Microsoft Office and Mac iOS
- tools (e.g., Asana, Monday.com, Salesforce)
- Ability to work independently while managing multiple priorities
- Trustworthy with handling sensitive data, financial records, and internal communications
Preferred Skills
- Familiarity with creative industry workflows or production environments
- Working tools such as Mailchimp and social media platforms
- Bookkeeping or accounting experience (e.g., QuickBooks, Xero)
- WordPress knowledge a plus
