Job Description

This position supports the TechQuity Health Lab and the Chief Research Informatics Officer by providing general administrative and programmatic support to daily operations and reporting requirements. Under the direction of leadership, the individual will assist in coordinating activities that support research initiatives, data-driven projects, and strategic collaborations. They will manage, organize, and facilitate operational tasks, ensuring smooth execution of key program functions. The coordinator will serve as a resource for internal and external stakeholders, supporting reporting processes, tracking program milestones, and assisting with project documentation. Additionally, this individual will play a key role in maintaining compliance with institutional guidelines and grant-related requirements while supporting the overall efficiency and effectiveness of the lab’s initiatives.

Essential Job Functions:

  • Provide general project coordination, management, and administrative support to the department/center.
  • Manage internal communication within the department/center and maintain relationships with faculty, clients, and other team members.
  • Maintain files, manage meeting agendas and notes, and develop tracking systems to assist with financial and administrative operations.
  • Assist the Finance Manager in budget development, expenditure tracking, financial reporting, and ensure the responsible stewardship of resources.
  • Prepares and reconciles invoices for contracted services and other project activities including revenue payments, subcontractor invoicing, check requests and purchase orders.
  • Monitor, prepare, submit, and track all reimbursements of the team and reconcile against budgets. Report to leadership on status of expenditures on regular basis. Inform leadership of variance situations and engage in activities to resolve questions or concerns.
  • Process all orders/submissions and ensures vendor status is up-to-date and/or established. Assist the Research Grants Specialist and faculty in the preparation and management of grants and contracts.
  • Coordinate and organize events, trainings, presentations, and meetings, including scheduling, booking, and communication.
  • Manage equipment, supplies, software, and other administrative/logistical supports for department activities.
  • Serve as a liaison and resource for internal and external systems, such as Workday, UKG, Qualtrics, Dedoose, etc.
  • Maintain team calendar including events, trainings, meetings, and other key dates.
  • Provide administrative support to the Directors and Faculty, including coordinating calendars, updating curriculum vitae, travel arrangements, and related activities as requested.
  • Assist in the onboarding of new team members by securing necessary hardware/software, reserving workspace, facilitating onboarding education, and overseeing the overall process.
  • Coordinate and support faculty recruitment efforts initiated by the Office of the Chairman.
  • Additional duties as assigned.

Knowledge, Skills and Abilities:

  • Bachelor's degree required.
  • Two (2) years of experience in Human Resources, Organizational Development, Healthcare Administration, nonprofit management or related field preferred but not required.
  • Excellent writing and interpersonal communication skills required; some grant writing experience preferred.
  • Proficient with Microsoft computer software applications, working knowledge of content management and publishing, software, and database technologies.
  • Ability to work independently with limited supervision.
  • Organizational skills: Ability to establish priorities and react promptly to a large variety of requests and needs, sometimes in stressful situations.
  • High level of attention to detail; ability to multi-task.

Pay Range

$59,280.00-$96,928.00 Salary
