Job Summary:

Annapolis Yacht Club, a private Platinum Club located in the heart of downtown Annapolis, is looking to fill the position of Events Coordinator.


The Events Coordinator at Annapolis Yacht Club is responsible for planning, coordinating, and executing a variety of private and club-sponsored events, ensuring exceptional service and member satisfaction. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively with staff, vendors, and members to create seamless and memorable experiences.


Key Responsibilities:

Event Planning & Coordination:

  • Work with members, clients, and club leadership to plan and execute private events, regattas, social functions, and corporate gatherings.
  • Coordinate all event logistics, including catering, décor, AV, entertainment, and vendor management.
  • Develop and maintain event timelines, floor plans, and banquet event orders (BEOs).
  • Ensure compliance with club policies and budgetary guidelines.

Member & Client Relations:

  • Serve as the primary point of contact for members and clients regarding event planning and execution.
  • Provide personalized service to ensure a high level of satisfaction and repeat business.
  • Conduct site visits, tastings, and pre-event meetings as needed.

Execution & Operations:

  • Work closely with the Food & Beverage, Culinary, and Facilities teams to ensure flawless execution of events.
  • Oversee event setup, execution, and breakdown, ensuring all details align with client expectations.
  • Troubleshoot and resolve any issues that arise during events to maintain high service standards.

Administrative & Financial Duties:

  • Maintain accurate event records, contracts, and billing information.
  • Track event budgets, manage invoices, and process payments.
  • Prepare post-event reports to evaluate success and areas for improvement.


Qualifications & Skills:

  • Bachelor’s degree in hospitality, Event Management, or a related field (preferred).
  • 2 years of experience in event coordination, preferably in a private club, hospitality, or catering environment.
  • Strong organizational and multitasking skills with the ability to handle multiple events simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in event management software, Microsoft Office Suite, and POS systems.
  • Knowledge of Annapolis’ boating and yachting culture is a plus.
  • Availability to work evenings, weekends, and holidays as needed.
