This position announcement will be used to fill a full-time, permanent Senior Center Associate in the Department of Aging and Disabilities with Anne Arundel County.
This is full-performance work in a senior center to perform and coordinate a variety of office duties to support the day-to-day activities of a senior center facility to include program support, customer services, and receptionist tasks. Contacts are with senior citizens, county employees, and the general public to receive and provide information.
NATURE AND VARIETY OF WORK
Essential function of the position within the organization is to provide clerical support to the Senior Center. Under general supervision of the senior center director, work involves, but is not limited to, general word processing, data entry, database management, recordkeeping activities, providing public inquiries assistance, and other senior center program activities Work typically involves performing office clerical duties such as files maintenance of secure and confidential records, assisting with senior center set up and clean up; and, opening/closing a senior center, handling program registrations via the computer, and answering phones. Work also involves accounting clerical tasks such as financial activities for the senior center, information gathering and reporting, statistical data entry, performing front desk support activities, class roster development, and other clerical support duties as required. Positions in this class are characterized by a thorough understanding of accepted office practices for senior center activities and the ability to independently perform a variety of office support duties in accordance with applicable senior center and departmental guidelines.(Note: The duties and responsibilities enumerated in this class specification are for the purpose of determining a common set of minimum qualifications and salary level for this class. Performs front desk duties such as screening incoming calls, transferring and directing calls to appropriate staff, and taking messages as necessary.
Greets and assist seniors with activity registrations, schedules senior center activities, and forward complicated requests to higher authority.
Assists with tracking of senior center participants and enters data to support monthly reports for assigned program support area.
Performs routine clerical tasks such as typing correspondence, reports, newsletters, flyers, data entry, database management, and other senior center clerical support activities.
Serves as liaison for senior centers and Aging program departments, custodial services, and other contractors required for the senior center facility.
Provides support for multi-purpose senior center activities and safety and security of building and occupants; maintains office equipment.
Schedules and may train temporary employees and/or volunteers in activities involving front desk coverage and other senior center support duties.
Assists with set up and clean up and opening and closing of a senior center as needed.
Performs related duties as required.
KNOWLEDGE, SKILLS, AND ABILITIES
Considerable knowledge of modern office practices and senior center procedures, standard format for typed materials, and operation of standard office equipment.
Considerable knowledge of word processing, database, and spreadsheet software and the use of personal computing equipment.
Considerable knowledge of senior center safety rules, departmental rules and regulations, customer service principles and practices, and front desk receptionist practices.
Ability to work effectively with senior citizens, the public and coworkers.
Ability to answer multi-line phone and answer inquiries or direct calls as necessary.
Ability to utilize a variety of computer systems and software applications.
Ability to maintain confidential information, multi-task, and follow oral instructions.
Ability to use independent judgment within established guidelines of a senior center.Graduation from high school and two (2) or more years of experience working in a general office support capacity for a senior center or a related senior care environmentPreference will be given to candidates that possess the following experience
At least one year experience working in a senior activity center
