Position Summary:
We are seeking a Senior Payroll Analyst to join our team and lead the payroll function for our multi-state operations. This role is responsible for processing weekly payroll for 600 employees, including certified payroll compliance. The ideal candidate will be technologically savvy, experienced with major payroll vendors, and UKG (Ultimate Kronos Group) experience is a plus. They should possess a strong understanding of prevailing wage requirements, union and non-union payroll, multi-state tax regulations, and construction payroll complexities.
Key Responsibilities:
Payroll Processing:
- Manage and process weekly, multi-state payroll for 600 employees, ensuring accuracy and compliance with federal, state, and local regulations.
- Work with major payroll vendors (ADP, Paycom, UKG, etc.) to ensure seamless payroll operations.
- Handle certified payroll reporting and compliance, including submission of required reports to government agencies.
- Process wage garnishments, deductions, benefits contributions, and tax withholdings accurately.
- Reconcile payroll reports and resolve discrepancies in a timely manner.
- Compliance & Reporting:
- Maintain compliance with prevailing wage laws, Davis-Bacon Act, and state-specific certified payroll requirements.
- Ensure payroll tax compliance for multi-state jurisdictions, working with internal and external partners.
- Prepare and file payroll-related reports, including W-2s, 1099s, quarterly and annual payroll tax filings.
- Keep up with legislative changes impacting payroll, such as wage laws, tax updates, and benefit deductions.
Technology & Process Improvement:
- Leverage payroll and HRIS technology to streamline and improve payroll processes.
- Work with UKG (preferred) or other payroll systems to optimize system functionalities.
- Implement automation and reporting enhancements to increase payroll efficiency.
- Assist in system upgrades, implementations, and integrations with accounting/HR systems.
- Collaboration & Support:
- Serve as the go-to payroll expert for HR, accounting, and field operations teams.
- Provide guidance and training to employees on payroll-related inquiries and self-service portals.
- Collaborate with finance and HR to ensure accurate general ledger postings and payroll funding.
- Support internal and external payroll audits as needed.
Qualifications & Experience:
- 5 years of payroll experience, with at least 3 years in the construction industry or subcontractor environment.
- Proven experience managing multi-state payroll and certified payroll for 600 employees.
- Proficiency in major payroll systems (ADP, Paycom, Paylocity, UKG a plus).
- Strong understanding of prevailing wage, Davis-Bacon, and multi-state tax laws.
- Advanced Excel skills and experience working with payroll analytics, reports, and data reconciliation.
- Ability to work in a fast-paced, deadline-driven environment with a high level of accuracy.
- Strong analytical, problem-solving, and organizational skills.
- Excellent communication and customer service skills when working with employees and management.
Preferred Qualifications:
- UKG (Ultimate Kronos Group) experience highly preferred.
- Construction payroll experience, including union payroll processing, is a plus.
- Certified Payroll Professional (CPP) certification is a plus.
