Summary of Position:
The Payroll Specialist – will be responsible for supporting all aspects relating to the processing of US and Canadian payrolls.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Utilize UKG Pro to make and approve changes to employee profiles (for example: rate changes, status changes, org structure changes, job changes, etc.)
• Calculate retroactive pay when assisting in back-dated rate changes
• RRSP (Canada 401k) – run reports and create spreadsheets to issue to Canada Life
• Assist in and approve new US and Canadian employees to be onboarded into UKG
• Canadian payroll -- review timecards in UKG WFM and communicate with managers for timely approvals, keep up-to-date with employee benefits, and process payroll on schedule
• Prepare bank funding for Canadian payroll
• Review emails and construct responses related to US and Canadian payroll
• Assist Managers and employees in security resets in UKG Pro
• Canadian Union Dues - Run reports and create spreadsheets for Canadian Unions
• US Union Dues - Run reports and assist in creating spreadsheets for Local 47 and Local 1245
• Generate and distribute UKG payroll reports for various departments
• Assist with T4/W2s – communicating with employees
• Keep up-to-date on US state PTO payout for termination laws and minimum wage changes
• Approve the terminations of employees – ensure that the correct hours are on their timecards, review benefits, communicate with managers, and ensure proper PTO payout
• Run and make basic reports in BI/people analytics (for example Autopay reports, On-Leave reports, Workmen’s comp reports, term/new hire reports, deductions reports, etc.) requested by the Manager
• Analyze deductions for the US and Compare them to Employee payments in UKG
• Pay schedule changes – assist in transferring employees from Pay schedule A to N
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
● Excellent verbal and written communication skills.
● Strong analytical and problem-solving skills.
● Proficient with Microsoft Office Suite or related software.
● Proficient with or the ability to quickly learn the organization's budgeting, payroll, and similar finance management software.
EDUCATION AND EXPERIENCE:
● Bachelor's degree/working towards a degree in Finance, Accounting, or a related field required
● UKG or other payroll software a plus
PHYSICAL REQUIREMENTS:
● Prolonged periods sitting at a desk and working on a computer.
● Must be able to lift up to 15 pounds at times.
