Accounting Specialist – AR and Payroll Support
Compensation: $26.00-$28.00 per hour (Commission and quarterly bonus)

SUMMARY: This position is responsible for the management of all service accounts receivable, including tracking, collecting, reporting, and collaborating with department leaders to address inefficiencies and ensure process adherence. Indirectly responsible for ensuring accounts receivable for installation and new construction are being managed and working collaboratively with the Controller to ensure all Accounts Receivable functions are performed timely, efficiently and with a high degree of accuracy. Responsible for providing support for the weekly Payroll process. This includes completing tasks and to be a backup for the Payroll Specialist.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Accounts Receivable
- Collect and process cash and paper check payments submitted by technicians daily and follow up as needed with technicians, supervisors, and managers regarding missing green packets.
- Track credit card swiper usage and contact technicians, supervisors, and managers to ensure we are maximizing swiper usage to minimize credit card processing fees.
- Accurately track all outstanding accounts receivable.
- Work AR reports daily and make determinations of the appropriate action needed for past due accounts.
- Contact customers regarding unpaid balances for all service business units via phone, e-mail, text, and mail services.
- Assist in the follow-up of all failed payments to update payment methods and collect payments.
- Identify accounts for referral to our collections partner once all other means of in-house collection have been exhausted.
- Schedule billing and actively collect on balances owed by former co-workers upon termination.
- Update customer accounts in Service Titan as needed.
- Ensure AR function closes by the end of 3 working day each month.
- Provide training and instruction for co-workers on changes in procedures as needed.
- Meet weekly with the co-workers managing accounts receivable for construction and installation, to ensure steady progress on collections is made and that outstanding accounts receivable balances are steadily declining.
- Research double charges or overpayments reported by technicians for adjustments.
Payroll Support
- Perform weekly tasks to provide support for the Payroll Specialist to help ensure an accurate and consistent weekly payroll process.
- Act as a backup to complete the payroll process if the Payroll Specialist is absent.
Support
- Assist the Controller and other members of the accounting team with projects as needed.
- All other duties deemed necessary.

- EDUCATION AND/OR EXPERIENCE: High school diploma. Possess at least 2 years of experience.
- LANGUAGE SKILLS: Ability to write routine reports and correspondence. Ability to speak effectively before groups and/or co-workers of the organization.
- MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
- REASONING ABILITY: Ability to apply common sense understanding in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- COMPUTER SKILLS: To perform this job successfully, an individual should have knowledge of how to access and use the internet and have a good working knowledge of Data Entry (inventory) software; Spreadsheet software and Word Processing software. Microsoft Outlook knowledge and experience is helpful.
